The firm is currently seeking an Events Coordinator to join its Los Angeles office, reporting directly to the Director of Client Development & Engagement. This role is pivotal in supporting the firm’s initiatives by planning, organizing, and executing a variety of high-quality and engaging events designed to foster client relationships and promote the firm’s brand. The Events Coordinator will be responsible for managing events of all sizes and formats, including practice group events, sponsorships, alumni engagements, and other client-related activities. This position requires someone with strong organizational skills who can manage the event lifecycle from initial planning and development through to execution and post-event follow-up.

Beyond coordinating logistics such as venue selection, vendor management, invitation design, and menu planning, the Events Coordinator will also serve as the bridge between the firm, vendors, and internal stakeholders, ensuring that all contractual and operational details are handled meticulously. The role demands a proactive approach in cultivating relationships with service providers and staying updated on industry trends, such as new restaurant openings and vendor changes, to enhance event experiences. Financial stewardship is also a key responsibility, including expense tracking, invoice processing, and post-event financial reconciliation to keep events aligned with budgetary expectations.

This position is dynamic and fast-paced, requiring the ability to multitask, think critically, and provide recommendations to optimize event processes using innovative technologies and strategies. The Events Coordinator will collaborate closely with multiple departments, including Client Development & Engagement, Marketing Technology, Communications, and Administration, to deliver seamless event experiences that reflect the firm’s standards of excellence. Additionally, the coordinator will handle specialized projects such as the Bay Area client holiday gifting program, ensuring thoughtful and consistent engagement with clients.

Candidates for this position must have at least two years of relevant event management experience, excellent communication skills, and a high level of attention to detail. Proficiency in Microsoft Office and Adobe Suite is essential, alongside the ability to work independently and in teams within a demanding professional environment. Flexibility with working hours and the ability to commute to the Los Angeles office at least four days a week is also required, with some travel between Palo Alto and San Francisco offices. A bachelor’s degree is required, with a preference for candidates with majors related to advertising, marketing, communications, public relations, or hospitality.

The estimated base salary range for this role is $65,000 to $80,000, reflective of experience, education, and other factors. This is a non-exempt position eligible for overtime pay. Job Duties

  • organize, coordinate and support execution of firm-sponsored events with focus on regional events from planning to post-event follow-up
  • coordinate and provide logistical event support including venue and vendor research, site inspections, invitation design, development of invitation lists and mailings, menu selection, decor, staffing and promotional items
  • serve as liaison between office of general counsel, internal stakeholders and third parties to ensure seamless contracting process for venues, caterers and vendors
  • establish and cultivate relationships with restaurants, caterers, hotels and other event-related service providers
  • track expenses and approvals during planning process, review and process invoices and assist with post-event reconciliation and ROI
  • work with key stakeholders to execute event protocol ensuring exceptional delivery, service and attention to detail
  • research ways to optimize event planning process leveraging new event technology and improving attendee experience
