The Events Coordinator role at INSA is a hybrid position based primarily out of the Arlington, Virginia office, requiring about three days a week onsite. This position is essential as it supports the planning and flawless execution of both in-person and virtual events. The Events Coordinator reports directly to the Senior Director of Meetings and Events and is the operational backbone for the entire events team. This role demands a highly organized, detail-oriented individual who is tech-savvy and comfortable managing complex logistics across multiple simultaneous programs. The coordinator will handle registration processes, database management, financial tracking, virtual event technology, material handling, onsite support, and customer service related to events.
As the main administrator for registration and financial processes, this position ensures the accuracy and integrity of attendee data while managing invoicing, payments, and revenue tracking. A critical part of the job involves configuring and troubleshooting virtual event platforms like Zoom and GoToWebinar, coordinating speaker rehearsals, and ensuring seamless event delivery. The Events Coordinator also maintains comprehensive event documentation, supporting the team by managing contracts, schedules, and communications. Physical tasks such as preparing and shipping event materials and onsite check-in assistance demonstrate the multifaceted nature of the role.
INSA is looking for a candidate with a Bachelor’s degree in Event Management, Hospitality, Communications, or a related field, accompanied by one to two years of experience in event coordination or similar administrative support, ideally in a fast-paced environment. Proficiency in Microsoft Office and strong interpersonal communication abilities are essential, along with the ability to prioritize multiple deadlines independently. Candidates with additional experience in office management, event management platforms like Cvent or Eventbrite, and virtual event software will have an advantage. Job Requirements
- Bachelor’s degree in Event Management, Hospitality, Communications, or related field
- 1–2 years of event coordination or administrative support experience
- Ability to manage multiple priorities and deadlines with minimal supervision
- Proficiency in Microsoft Office including Outlook, Excel, Word, and PowerPoint
- Strong organizational skills and attention to detail
- Excellent interpersonal and communication skills
- Must be a U.S. citizen
- Ability to lift up to 50 pounds for event setup
- Willingness to work occasional evenings and weekends
- Ability to travel approximately four times per year
Job Qualifications
- Bachelor’s degree in Event Management, Hospitality, Communications, or a related field
- 1–2 years of event coordination or administrative support experience in a fast-paced environment
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office applications including Outlook, Excel, Word, and PowerPoint

- Experience with event management platforms such as Cvent, Aventri, or Eventbrite is preferred
- Familiarity with virtual event platforms like Zoom or GoToWebinar is advantageous
- Experience working with vendors, sponsors, or external partners is a plus
Job Duties
- Oversee the full event registration process including site setup and attendee database management
- Manage financial transactions such as processing registrations, payments, tracking balances, and reconciling invoices
- Maintain event documentation, contracts, schedules, and standard operating procedures
- Configure and manage virtual event platforms like Zoom and GoToWebinar including speaker rehearsals and technical support
- Coordinate the preparation, shipment, receipt, and tracking of event materials and supplies
- Provide onsite support for event check-in, badge printing, and registration system setup
- Deliver timely and professional customer service support to members, sponsors, speakers, vendors, and staff to ensure seamless event execution
