Job Description
The Cathedral of Immaculate Conception is a historic and prominent religious institution located in Kansas City, serving as a spiritual home and community center for its parishioners as well as the broader local community. Known for its stunning architecture and vibrant congregational activities, the Cathedral hosts a wide range of religious events, cultural celebrations, and community gatherings. Dedicated to fostering faith, community engagement, and service, the Cathedral seeks to expand its event programming by employing a skilled and motivated Events Coordinator. The role of the Events Coordinator at the Cathedral of Immaculate Conception is a part-time position averaging between 20 to 25 hours per week, reporting to the office manager. This position is crucial in planning, managing, and executing a broad variety of events hosted at the Cathedral and its associated venues such as the Bishop Hogan Center. The types of events range from intimate business promotions and community meetings to large-scale weddings and public gatherings, reflecting the diverse needs and vibrant activity of the Cathedral community.
The Events Coordinator is responsible for ensuring that every detail of the event process is addressed methodically and professionally, ensuring events proceed smoothly from initial consultation to completion. This includes managing venue bookings, maintaining an accurate event calendar, and conducting tours for prospective clients. The coordinator also handles contract negotiations and secures signed agreements, along with ensuring all necessary event documents, including insurance coverage, are properly completed and processed.
In addition to administrative tasks, the Events Coordinator manages staffing requirements, coordinating schedules for security personnel and additional staff or volunteers to adequately support each event. The role demands the creation of detailed event timelines and proactive communication with vendors to ensure all event logistics meet the clients' expectations. During events, the coordinator serves as the primary point of contact, troubleshooting any issues that may arise and providing real-time solutions.
Operational oversight includes managing setup, event execution, and breakdown phases, along with post-event inspections to document damages or assess any follow-up needs. The position demands vigilance in adhering to health and safety standards, including preparations for inspections, maintaining compliance with Missouri State Liquor Control regulations, and coordinating cleaning services to ready the venue for future use.
Furthermore, the Events Coordinator is tasked with maintaining and updating digital platforms such as the Eventective account, handling inquiries, managing digital event listings, and regularly updating the Bishop Hogan Center's social media accounts to reflect upcoming events and related content. Collaboration with the Diocese of Kansas City-St. Joseph is also central to this role, providing event support and aligning activities with diocesan expectations and standards.
This position demands strong behavioral competencies, including attention to detail, clear and professional communication skills, confidentiality, the ability to manage competing priorities effectively, and the capacity to build collaborative relationships across diverse stakeholders. Successful candidates must have intermediate to advanced proficiency in Microsoft Office and at least three years of experience in event planning. Job Duties
- Manage venue bookings and maintain an accurate master event calendar
- Meet with prospective clients, conduct venue tours, and secure signed contracts
- Ensure all required event documentation is completed, including insurance coverage through K&K Insurance
- Process and submit rental payments to the appropriate office
- Coordinate staffing needs, including scheduling security personnel and additional staff or volunteers
- Develop detailed event timelines to ensure smooth planning and execution
- Communicate with vendors and service providers to coordinate event requirements
- Oversee all on-site event operations, including setup, execution, and breakdown
- Serve as the main point of contact during events to troubleshoot issues and provide support
- Monitor event expenses and assist with budget tracking
- Conduct post-event inspections and document any damages or necessary follow-up
- Arrange cleaning services and ensure the venue is reset for future use
- Assist with preparation for health and safety inspections and ensure compliance
