The Events Coordinator role at Rapport is a vital position within the team, requiring close interaction with clients, executives, and administrative staff to facilitate flawless event execution. The role involves managing all aspects of events such as meetings, conferences, and special functions, ensuring that each gathering is meticulously planned and efficiently coordinated. The coordinator acts as the primary liaison to clients, addressing their inquiries and maintaining positive relationships before, during, and after events. Key responsibilities include coordinating services related to audio-visual needs, food and beverage arrangements, room setups, signage, and material distribution. The role also entails producing detailed event resumes to document plans and communicate important information across departments. Onsite supervision of staff and event activities ensures smooth operations throughout the event lifecycle. Additionally, the Events Coordinator participates in feedback sessions to gather insights for continuous improvement, particularly for complex or large-scale events. This position demands a proactive and detail-oriented professional who can anticipate changes and industry trends, deliver exceptional customer service, and contribute to the overall success of Rapport's event offerings. The salary range for this role is $70,000 to $75,000 per year, reflecting the importance and responsibility the position holds within the company.

Job Requirements

  • Four year college degree preferred
  • Two years of planning experience in hospitality industry
  • Proficient in Microsoft Office
  • Exceptional customer service abilities
  • Proactive mindset to anticipate and support business changes
  • Ability to keep abreast of industry trends and share information
  • Ability to perform essential job functions with or without reasonable accommodation

Job Duties

  • Conferring with clients before, during and after their events, maintaining a positive relationship and responding to inquiries and requests in a timely manner
  • Ensure a seamless working relationship with all other service providers
  • Coordinating a wide range of services for meetings booked, including Audio Visual requirements, food and beverage requests, conference room set-ups, signage, distribution of materials
  • Producing Event Resumes to document events and share detailed information with involved departments
  • Oversee all onsite staff and activities including room setups, audio visual support, meeting and event coordination
  • Participating in post-conference/debrief feedback sessions with clients and operations staff
