Job Description

The position of Events Coordinator is crucial within this environment. This role involves meticulous planning and execution of internal ticketed events alongside efficient coordination of external private rentals. The Events Coordinator plays an integral part in collaborating across departments within Adventure Science Center to ensure that each event runs smoothly and meets the institution's high standards for guest experience and educational value. This coordinator will manage everything from brainstorming event themes and activities, sourcing event materials within budgets, and developing detailed logistical plans including floor plans and run-of-show schedules. The role also requires executing real-time event operations and serving as a manager on duty during after-hours partner programs, ensuring excellent customer service and safety at all times.

The position also demands strong communication skills to liaise effectively with donors, community leaders, musicians, and other diverse client types. In addition to event coordination, responsibilities include maintaining event files, providing administrative support, and contributing to continuous improvements by working closely with the Events Manager. Experience with event management software such as Tripleseat and Blackbaud/Altru for payment processing and financial reporting is important. The Events Coordinator role is designed for a proactive team player who thrives in a fast-paced, collaborative environment and is committed to the success of both the events and the overall mission of the Adventure Science Center.

Job Requirements

  • Must be at least 18 years old
  • Ability to walk, stand, bend, and carry light to moderate items
  • Work environment involves normal safety precautions typical of office and event settings
  • Manual dexterity and visual and auditory acuity required
  • Ability to work nights, weekends, and holidays
  • Ability to handle multiple priorities

Job Qualifications

  • Associate degree or equivalent combination of education and 2-3 years of event coordination or hospitality experience
  • At least one year of catering or event management experience preferably in a rental venue
  • Ability to work flexible hours including nights, weekends, and holidays
  • Excellent written and verbal communication skills
  • Strong customer service orientation
