Job Description

UNCW is currently seeking a dedicated and detail-oriented Events Coordinator within the Division for University Advancement. This permanent, full-time position plays a pivotal role in the planning and execution of cultivation, recognition, and stewardship events designed to engage and inspire donors, students, volunteers, and university leadership, including the Chancellor’s Office. Reporting to the Division for University Advancement, which is responsible for driving philanthropic efforts, alumni engagement, and board support activities that enhance the university’s mission, the Events Coordinator will ensure smooth and effective management of a broad spectrum of events. The annual salary range for this role is $45,400 to $50,438, with actual compensation based on education, experience, and internal equity.

The Events Coordinator will manage the comprehensive logistics of university advancement events, which include both in-person and virtual programming. Responsibilities encompass venue reservations, development and dissemination of invitations, RSVP management, registration oversight, coordination with vendors, catering, entertainment, room arrangements, and supporting materials like name badges and seating plans. Additionally, the coordinator will organize telecommunication needs, audiovisual requirements, decorations, photographers, and event themes to ensure an engaging and professional experience for all participants. This position requires collaboration with staff, volunteers, student ambassadors, departmental representatives, and university executives to deliver donor-centered events that uphold UNCW’s values of inclusivity and excellence.

The position demands proficiency in managing complex projects simultaneously, attention to detail, and the capacity to oversee confidential information with discretion. Flexibility in working hours, including occasional nights and weekends, is essential to accommodate events. The position also entails travel to out-of-town events as necessary. Job Duties

  • Assist with leading cultivation, recognition, and stewardship events for University Advancement and the Chancellor's Office
  • Oversee the assignment of duties to staff and volunteers assisting with events
  • Organize reservations, invitations, RSVPs, and registrations
  • Coordinate menus, entertainment, outside vendors, and event logistics including room set-up, decorations, and audiovisual needs
  • Manage virtual event programming timelines for donors, students, and volunteers
  • Attend and manage all assigned events, including travel for out-of-town events
  • Guide development staff, student ambassadors, departmental representatives, and the Chancellor in donor stewardship
