The Events Coordinator role is a vital position within the agency, demanding a highly organized, proactive, and adaptable individual who will play a central role in executing Wonderist's event strategy. Reporting to the Partnerships and Events Manager, the Events Coordinator is responsible for managing the entire lifecycle of 30 to 50 annual events that vary in scale and complexity. This includes everything from contract management, budget creation and tracking, to marketing collateral development and distribution. The coordinator serves as a primary liaison with conference organizers, venue contacts, vendors, and referral partners, ensuring seamless communication and execution of logistics. The position requires a detail-oriented professional who can independently manage competing priorities, foresee potential challenges, and maintain momentum in a fast-paced environment.

Additional responsibilities include overseeing on-site event logistics such as booth setup and teardown, coordinating travel which often entails multi-day trips and irregular hours, and representing Wonderist with professionalism and enthusiasm at various industry gatherings. The role will expand over time to include full ownership of agency-hosted events—both internal and client-facing, enhancing team experiences and strengthening client relationships. Exceptional project management skills are essential, with the use of Monday.com software to coordinate milestones and deadlines across multiple events. Budgetary oversight is also pivotal, involving real-time expense tracking, invoice coordination, and comprehensive ROI analysis to guide leadership on strategic decisions.

Beyond logistics and budgeting, the Events Coordinator also supports event marketing efforts by collaborating closely with business development and partnership teams, enabling seamless event promotion through social media content, landing pages, presentations, and post-event recaps. This multifaceted role demands a natural connector with bold business development instincts, excellent communication and presentation skills, and a deep understanding or willingness to learn about the dental industry's unique landscape. Job Requirements

  • Bachelor's degree in business, marketing, communications, or related field
  • minimum of 3 years in sales, business development, or partnership roles
  • experience within the dental industry preferred
  • proven success in establishing new business relationships and achieving growth targets
  • excellent public speaking and presentation skills
  • strong interpersonal and relationship-building abilities
  • proficiency in CRM and project management software
  • willingness and ability to travel frequently for events

Job Qualifications
