USA Fencing is the National Governing Body (NGB) for the sport of fencing in the United States. The Events Coordinator position at USA Fencing is a vital role within the customer support team, reporting to the Associate Director of Regional Events and Merchandise. This full-time, non-exempt position offers a competitive hourly wage starting from $22.83 to $24.03, commensurate with experience, along with a flexible work schedule. The primary responsibility of the Events Coordinator is managing communications related to USA Fencing’s sanctioned tournaments. This includes serving as the main point of contact for members with inquiries concerning events via phone and email, providing timely and informative support to enhance member engagement and satisfaction.
In addition to customer service duties, the Events Coordinator supports event logistics and administrative functions, ensuring smooth operations and adherence to policies. They manage the processing of tournament results, handle refunds and invitation letters for international competitions, and assist with age and nationality verification processes in the membership database. The role also involves compiling and analyzing reports related to customer satisfaction and event feedback to inform continuous improvement efforts. A crucial part of the role includes working collaboratively with departments such as Member Services, officials coordinators, and regional event managers to support tournament bid applications, flight approvals, and onsite tournament operations, which may require traveling one to two times a year.
Ideal candidates for this position combine excellent communication and customer service skills with strong organizational and project management abilities. Job Duties
- Serve as primary customer service contact for the Events Department, fielding incoming calls, emails and support tickets
- Develop processes and solutions to streamline response timelines focusing on a 24-hour response time
- Support day-to-day process administration including tournament withdrawals, processing invitation letters and refunds
- Process local sanctioned tournament results uploads ensuring compliance and troubleshooting with Division Officers
- Assist Member Services with age and nationality verifications
- Compile reports and analyze data on customer satisfaction and event feedback
- Assist with Regional Tournament Bid Applications and review process
- Support Officials Coordinator with officials' flight approvals
- Travel 1-2 times annually for onsite tournament support
- Perform other duties as assigned
