The role of Events Coordinator at UCLA's Department of Ethnomusicology and Global Jazz Studies is a vital position responsible for managing and coordinating department and program events. Reporting directly to the Department Chairs and Department Manager, this part-time, career staff position is hybrid in nature, combining onsite responsibilities at the 445 Charles E Young Drive East location with remote flexibility. The salary range is competitive, from $29.17 to $56.37 per hour, reflecting factors such as experience, skills, education, and other business considerations.
As an Events Coordinator, you will take charge of the entire event production lifecycle for various departmental events, including concerts, workshops, masterclasses, conferences, and recitals. Your duties encompass coordinating pre-production logistics by collaborating with theater staff, faculty, and students to develop production estimates and logistics plans while guiding the budget approval process in partnership with the department manager. You'll also manage event information dissemination, ensuring that approved events are published accurately across relevant calendars and concert programs.
Moreover, you will organize essential event support such as ticketing processes, reception arrangements, guest artist relations, and travel and accommodation planning. Supervising the production and printing of concert programs forms a significant aspect of this role, ensuring high-quality output aligned with departmental standards.
Additionally, the role doubles as the publications coordinator for the Department of Ethnomusicology, overseeing the production and distribution of departmental publications. This includes managing content development, maintaining publication files, overseeing copyright policies, and administering sales, inventory, and shipping of publications and audiovisual products through both online store platforms and in-person events. You will also develop and maintain a publications business plan and budget, driving efficiency and growth in this area.
The ideal candidate possesses strong multitasking and organizational skills, with the ability to handle multiple deadlines, update event information, and initiate improvements in operational procedures. Familiarity with English grammar and editing, graphic design, printing processes, accounting basics, and various software tools such as word processing, databases, spreadsheets, publishing, and online store management is essential. You will work autonomously, demonstrating excellent interpersonal skills to collaborate effectively with diverse university stakeholders.
You should be prepared to work a flexible schedule, including evenings and weekends, as needed for event support. Physical capability to lift approximately 50 pounds is also required. A background or interest in ethnomusicology, global jazz, or related fields is preferred.

Job Requirements
- Bachelor's degree in related area or equivalent combination of education and experience
- Two or more years of event production experience including concerts and academic events
- One or more years experience in professional proofreading
- Ability to work independently with minimal supervision
- Knowledge of production processes and event terminology
- Strong organizational and multitasking skills under tight deadlines
- Excellent command of English grammar and editing skills
- Knowledge of printing, graphic design, and production terminology
- Basic accounting skills
- High attention to detail and ability to develop operational procedures

Job Qualifications
- Two or more years of experience in professional event production including concerts, workshops, masterclasses, conferences, recitals
- One or more years of experience in professional proofreading of manuscripts and galleys
- Ability to work autonomously with minimal supervision
- Knowledge of event production processes and terminology
- Skill in organizing and prioritizing multiple tasks under conflicting and tight deadlines
- Excellent knowledge of English grammar, punctuation, and editing for content, consistency, and style
- Ability to compose well-written letters, emails, and short essays unaided
- Knowledge of printing, graphic design, production processes, and designer and typesetter specifications
- Basic accounting skills
- Ability to work flexible schedules including nights and weekends
- Proficiency in software for word processing, databases, spreadsheets, publishing, graphics, and online store management
