The role on offer is for an Events Coordinator, reporting directly to the Senior Manager of Experience at Vast’s Long Beach location. This is a full-time, non-exempt position. The Events Coordinator will play a vital role in supporting the planning, coordination, and execution of a variety of events which are critical to advancing Vast’s mission and business development efforts. These events include industry trade shows, business development conferences, partner activations, internal company gatherings, and exclusive VIP experiences.

The Events Coordinator will work closely with internal teams, external vendors, and partners to ensure seamless event delivery from start to finish. This includes managing logistics such as scheduling, travel arrangements, shipping, setup, registration, and breakdown. The candidate will assist with vendor coordination, overseeing venues, catering, audiovisual support, fabrication, and other event-related service providers.

Maintaining production timelines, event checklists, and run-of-show documents will be key to success in this role. The Events Coordinator must help uphold brand consistency across all event materials and attendee interactions. They will track deliverables, deadlines, invoices, and production expenses while providing on-site support during events to troubleshoot any issues.

Collaboration is essential, as this position requires partnering with marketing, creative, and cross-functional teams to meet event objectives. Additionally, the candidate will support post-event reporting and documentation efforts, ensuring lessons learned and successes are captured across the organization.

This position requires a detail-oriented professional with strong organizational and communication skills, capable of managing multiple projects under tight deadlines in a fast-paced environment. Flexibility to travel and work varying hours to support events is expected. Job Requirements

  • 2 to 4+ years of experience in event coordination, event marketing, hospitality, or related field
  • Experience supporting live events, conferences, activations, or productions
  • Strong organizational skills with the ability to manage multiple projects and deadlines
  • Excellent communication and coordination skills
  • Detail-oriented with a proactive, problem-solving mindset
  • Comfortable working in fast-paced environments and adapting to changing priorities
  • Willingness to travel and work flexible hours as needed for events

Job Qualifications

  • Knowledge of budgeting, expense tracking, or event administration preferred

Job Duties

  • Support the planning and execution of events including trade shows, internal events, conferences, and partner activations
  • Coordinate event logistics including scheduling, travel, shipping, registration, setup, and breakdown
  • Assist with vendor coordination across venues, catering, audiovisual, fabrication, and other event partners
  • Maintain production timelines, run-of-show documents, and event checklists
  • Help ensure brand consistency across event materials and attendee touchpoints
  • Track event deliverables, deadlines, invoices, and production expenses
  • Provide on-site event support and troubleshoot logistical issues as they arise
  • Collaborate with marketing, creative, and cross-functional teams to support event objectives
  • Support post-event reporting, recaps, and documentation
