Job Description
The Cathedral of Immaculate Conception is a prominent religious and community-centered establishment located within the Diocese of Kansas City-St. Joseph. It serves as a spiritual home and gathering place for parishioners and the broader community, offering a variety of religious services, events, and outreach programs. As a key institution within the Catholic Church, the Cathedral embodies a commitment to faith, community engagement, and the ethical standards upheld by its religious teachings. The Cathedral's facilities include the Bishop Hogan Center, a versatile event space used for a wide range of occasions, from business promotions and meetings to large public celebrations and wedding receptions.
The Cathedral of Immaculate Conception is currently seeking a Part-time Events Coordinator to oversee and manage its diverse portfolio of events. This role, reporting directly to the office manager, involves coordinating all aspects of event planning and execution, with an average workload of 20 to 25 hours per week. The Events Coordinator plays a crucial role in ensuring that every event hosted at the Cathedral and the Bishop Hogan Center runs smoothly and efficiently, meeting both the expectations of clients and the operational standards of the Cathedral.
The Events Coordinator is responsible for managing venue bookings and maintaining an accurate master event calendar to avoid scheduling conflicts. This person acts as the primary liaison between the Cathedral, clients, and various vendors, conducting venue tours, securing contracts, and ensuring all necessary documentation, such as insurance coverage through K & K Insurance, is in place prior to events. Financial transactions related to event rentals are processed and submitted to the office, while staffing needs—including security and volunteers—are coordinated to ensure adequate support during events.
A key aspect of the role involves developing detailed event timelines and coordinating vendor services to guarantee the seamless execution of events. The coordinator oversees all on-site operations from setup through cleanup, serving as the main point of contact during events to resolve any issues promptly. Additionally, the role includes monitoring event expenses to assist with budget management and conducting post-event inspections to identify damage or required follow-up actions.
Compliance with Missouri State Liquor Control regulations and health and safety standards is a critical responsibility. The Events Coordinator supports preparation for relevant inspections and ensures that all events adhere to legal and safety guidelines. The role also requires maintaining and updating the Cathedral's Eventective account and Bishop Hogan Center social media channels to promote events and engage with the community.
An essential part of this position is collaborating closely with the Diocese of Kansas City-St. Joseph to support and assist with events hosted at both the Cathedral and the Bishop Hogan Center. The ideal candidate will demonstrate strong attention to detail, excellent communication skills, and an ability to manage multiple priorities while maintaining confidential information and building collaborative relationships within the community.
This position requires a practicing Catholic with a strong commitment to the ethical standards and teachings of the Catholic Church. Candidates should possess intermediate to advanced proficiency in Microsoft Office and have a minimum of three years of experience in event planning. Employees must consent to a background check, commit to the Cathedral's Code of Conduct policy, and complete required online and in-person training prior to employment.
