The Events Coordinator role at Zachry Hotels is pivotal in delivering exceptional guest experiences within a dynamic full-service hotel setting. This position involves supporting the planning, coordination, and flawless execution of various events including meetings, social functions, and special gatherings. The Events Coordinator acts as a central liaison between clients and internal hotel departments to ensure that every event is well-organized, communicated clearly, and executed smoothly. This requires meticulous attention to detail, strong organizational skills, and the ability to manage multiple priorities effectively.
In this role, you will assist in preparing and maintaining event documentation such as timelines, room setups, and service details while ensuring all information remains accurate and updated. Communicating professionally and clearly with clients to confirm arrangements and address any adjustments is a vital aspect of the job. You will also work closely with hotel operational teams including Banquets, Culinary, Front Office, and Engineering to ensure all departments are aligned and informed about event details.
Key responsibilities extend to supporting pre-event meetings, assisting on-site event execution, maintaining accurate event records in management systems, and generating detailed reports. The Events Coordinator also contributes to revenue growth by supporting upselling opportunities and helping identify ways to enhance guest satisfaction and overall event success. Additional responsibilities involve maintaining confidentiality of sensitive client and business information and participating in special projects and departmental initiatives.
This role requires at least a high school diploma or equivalent, with a preference for candidates having prior experience in events, hospitality, or administrative positions. Knowledge of event management or hotel systems, and an Associate's or Bachelor’s degree in Hospitality, Event Management, or a related field is advantageous. Strong organizational, communication, and multitasking skills are essential. Proficiency in Microsoft Office and event management software enhances success in this position.

- Experience coordinating meetings or events preferred
- Associate's or Bachelor's degree in Hospitality, Event Management, or related field preferred
- Experience with event management or hotel systems preferred

- Excellent written and verbal communication skills
- Ability to manage multiple events and priorities simultaneously
- Proficiency in Microsoft Office and event management software
- Ability to work flexible schedules including evenings, weekends, and holidays as business needs require

Job Duties
- Assist with coordination and planning of meetings, conferences, and special events
- Prepare and maintain event documentation including timelines, room setups, and service details
- Support development and distribution of event orders and event summaries
- Ensure all event details are accurate and updated
- Serve as a point of contact for clients regarding event details and logistics
- Communicate clearly and professionally with clients to confirm arrangements and changes
- Assist with menu selections, audiovisual needs, room layouts, and scheduling
- Support client site visits and planning meetings as needed
- Coordinate closely with Banquets, Culinary, Front Office, Engineering, and other departments
- Ensure timely communication of event details to all operational teams
- Participate in pre-event meetings and briefings
- Assist with on-site event execution to ensure smooth operations
- Enter and maintain accurate event information in event management systems
- Track revisions, confirmations, and changes to event details
- Generate event reports and summaries as requested
- Maintain organized and accurate event files
- Support upselling of event services and enhancements when appropriate
- Assist in achieving event revenue goals and service objectives
- Help identify opportunities to improve guest satisfaction and event outcomes
- Maintain confidentiality of client and business information
- Support special projects and departmental initiatives
- Perform other duties as assigned to support Events Department operations
- Maintain reliable and consistent attendance as an essential function of the job
