The role of Event Coordinator at The Ember Lodge is a multifaceted position ideal for an individual who thrives in dynamic, customer-focused environments. This position involves overseeing the smooth execution of events from start to finish, coordinating both logistical and client service aspects. Primary responsibilities include assisting in the organization and setup of group events, ensuring facilities are clean, organized, and well-maintained before and during events, and supervising events on-site to address any guest needs promptly and professionally. The Event Coordinator acts as a vital liaison between clients, vendors, and internal teams to guarantee the seamless operation of activities, particularly during large-scale events where this position serves as the main point of contact. This includes managing timelines, coordinating with vendors on decor, audio-visual requirements, entertainment, and facilitating communication to keep everyone aligned.

Additionally, the role requires providing tours to prospective clients, answering inquiries through various communication channels including social media and phone, and supporting sales efforts by helping schedule group activities such as school field trips, summer camps, birthday parties, and corporate outings. The Event Coordinator also plays a key part in administrative functions, supporting the Food and Beverage Manager by facilitating sales and managing phone correspondence professionally. Job Duties

  • Assist in organizing group event and setting up rooms
  • Ensure the venue and facilities are clean, organized, and well-maintained before and during events
  • Supervise the operations of events, addressing guest needs promptly and professionally
  • Perform closing duties after events to secure the venue for future use
  • Provide tours to prospective clients, conducting comprehensive venue walk-throughs
  • Communicate with clients regarding bookings, procedures, and day-of requirements
  • Respond to leads and inquiries through social media, phone, website, and email
  • Serve as the primary contact and project lead for large-scale events
  • Work with internal teams and external vendors on timelines, deliverables, and logistics
  • Conduct pre-event and day-of meetings with vendors and staff
  • Supervise event setup including decor, AV, and entertainment
  • Act as on-site lead during events, overseeing staff and addressing needs
  • Offer administrative support to the Food and Beverage Manager
  • Facilitate sale and scheduling of group events and birthday parties
  • Answer phone calls professionally, directing or resolving inquiries
  • Attend off-site community events to promote the venue
  • Perform other tasks as assigned, including support in housekeeping, groundskeeping, maintenance
