The Events Coordinator role, titled Education Administrator I with the role code 29133-SW, is an exempt, full-time position based primarily at the Daniel Technical Center in Culpeper, VA, with occasional responsibilities at the Fredericksburg Area Campus. The role offers a competitive salary range between $71,027 and $86,811 annually, including full state benefits. This position plays a pivotal part in coordinating and executing both internal and external events that support the College’s vision and service commitments.

In this community-facing role, the Events Coordinator acts as the primary liaison to facility rental clients—ranging from businesses and community agencies to individuals—while simultaneously managing internal events that serve students, staff, and the larger community. The incumbent will work collaboratively with various departments, including Student Affairs, Academic Affairs, Workforce Development, Facilities, Information Technology, Custodial Services, and Business Office, to ensure events are coordinated efficiently and professionally.

The incumbent will lead event planning and execution from the conceptual stage to final completion, showcasing exceptional attention to detail and effective project management abilities. Responsibilities include overseeing a centralized non-academic calendar to prevent scheduling conflicts, guiding committees and teams in large-scale event production, and maintaining a consistent and creative design identity for internal events. Supervisory duties also encompass managing a dynamic team of part-time and student staff, fostering a culture of teamwork and excellence.

Additionally, the Events Coordinator will be responsible for supervising budgets associated with events, ensuring accurate accounting for revenues and expenditures specifically related to after-hours use and facility rentals. The role includes reviewing and approving event requests based on alignment with institutional policies and calendar availability. The successful candidate will advise college leadership on event opportunities, rate-setting, cost recovery, facility usage reporting, and process improvement strategies. Ensuring compliance with safety, insurance, and risk management policies is paramount, applying these consistently across all users.

This role demands exceptional interpersonal skills, problem-solving capabilities, collaborative spirit, proficiency in scheduling systems and financial tracking, and experience working within fast-paced environments managing multiple priorities concurrently. Familiarity with higher education settings and a passion for event design are advantageous. Job Duties

  • coordinate and manage events from conception to completion for internal and external stakeholders
  • serve as liaison with internal and external partners for event success including facilities, technical services, college police, business office, custodial services, musicians/DJs, tent and furnishing rentals, floral, balloon, and other services
  • supervise small team of direct reports and manage events that span across multiple departments and divisions
  • manage department budget and ensure revenues and incremental expenses associated with after-hours events and rental events are accurately recorded
  • review and approve event requests to ensure alignment with institutional priorities and space availability
  • maintain a centralized event calendar and communicate event details to all stakeholders
  • advise college leadership on events opportunities, support rate-setting, cost recovery analysis, and reporting related to events and facility usage
  • identify process gaps or opportunities and recommend improvements
  • ensure events comply with college policies related to facilities use, safety, insurance, and risk management
