Job Description

The Cathedral of Immaculate Conception is a prominent religious and community establishment that serves as a spiritual and social hub within its region. The Events Coordinator position at the Cathedral of Immaculate Conception is a part-time role averaging 20 to 25 hours per week. This position plays an essential role in the smooth operation and success of events hosted at the Cathedral and the associated Bishop Hogan Center. Reporting directly to the office manager, the Events Coordinator is responsible for planning, organizing, and managing a diverse array of events ranging from small business promotions to large-scale public gatherings like wedding receptions. This role demands a proactive professional who can oversee every detail from initial client meetings to final event execution and post-event follow-up.

Key responsibilities include managing the master event calendar, conducting venue tours, securing contracts, and ensuring all event documentation is complete and compliant, including insurance coverage. The coordinator also handles rental payments, staffing arrangements, vendor communications, and on-site event operations, ensuring every event runs smoothly and meets client expectations. The role requires the ability to troubleshoot issues in real time, maintain budget tracking, and conduct thorough inspections after events to assess any damages or necessary maintenance. Additional duties include arranging cleaning services and ensuring venue readiness for future use.

An important aspect of the role involves adhering to various regulatory requirements such as Missouri State Liquor Control laws and health and safety inspection standards. The Events Coordinator also manages the Cathedral's online presence related to events by updating the Eventective platform and social media accounts for the Bishop Hogan Center. The role requires close collaboration with the Diocese of Kansas City-St. Joseph to support and facilitate events effectively.

The ideal candidate will bring a combination of advanced event planning experience, strong organizational and communication skills, and a personal alignment with the ethical standards and moral teachings of the Catholic Church. Intermediate to advanced proficiency in Microsoft Office applications is expected. The Cathedral emphasizes confidentiality, professionalism, and the ability to handle competing priorities while building collaborative relationships within the community and with external vendors.

Job Requirements

  • Three or more years of experience in event planning
  • practicing Catholic with ethical standards, personal integrity, and conduct consistent with the morals and teachings of the Catholic Church
  • consent to a background check
  • commitment to the Code of Conduct policy
  • completion of online and in-person training prior to hire

Job Qualifications

  • Intermediate to advanced skills in Microsoft Office

Job Duties

  • Manage venue bookings and maintain an accurate master event calendar
  • meet with prospective clients, conduct venue tours, and secure signed contracts
  • ensure all required event documentation is completed, including insurance coverage through K&K Insurance
  • process and submit rental payments to the appropriate office
  • coordinate staffing needs, including scheduling security personnel and additional staff or volunteers
  • develop detailed event timelines to ensure smooth planning and execution
  • communicate with vendors and service providers to coordinate event requirements
  • oversee all on-site event operations, including setup, execution, and breakdown
  • serve as the main point of contact during events to troubleshoot issues and provide support
  • monitor event expenses and assist with budget tracking
  • conduct post-event inspections and document any damages or necessary follow-up
  • arrange cleaning services and ensure the venue is reset for future use
  • assist with preparation for health and safety inspections and ensure compliance
  • ensure compliance with Missouri State Liquor Control regulations
  • maintain and update the Eventective account, including responding to inquiries and managing listings
  • manage and update Bishop Hogan Center social media accounts with relevant content and events
  • work closely with the Diocese of Kansas City-St. Joseph to support and assist with events hosted at the Cathedral and Bishop Hogan Center
