The Events Coordinator position within the School of Public Affairs is a full-time, on-campus role that plays a vital role in supporting the university's mission by orchestrating a diverse range of events that align with SPA's strategic goals. Regular and non-exempt, this role operates within a unionized environment represented by SEIU Local 500. The coordinator will engage in comprehensive event management duties, from coordinating logistics and vendor communication to marketing and administrative support. The role requires presence during major events as well as meticulous preparation of event materials such as name tags, programs, signage, and catering arrangements. It is essential to maintain an excellent relationship with internal staff, faculty, as well as external vendors, ensuring smooth event execution with a focus on detail and professionalism.
The coordinator will be instrumental in managing events including major conferences, alumni and family weekend programs, commencement ceremonies, and academic gatherings for both undergraduate and graduate communities. This position is the main point of contact for events, responsible for coordinating room reservations, audio-visual setups, catering, and the management of event supplies and promotional materials. Additionally, the Events Coordinator supports marketing efforts for events, maintains online event calendars, and assists with logistical arrangements such as offsite venue research and room scheduling. Beyond event coordination, this role involves administrative support, inventory management, and sometimes supervising student workers.
The work environment is dynamic, requiring flexibility for occasional evening or weekend work and the ability to manage multiple projects simultaneously. The salary range is competitive at $24.75 to $26.25 per hour. This position is suitable for applicants with a high school diploma or equivalent and at least 2 to 4 years of relevant experience, preferably including event management, logistics coordination, and marketing communications. A bachelor’s degree is preferred but not mandatory. The candidate must demonstrate exceptional organizational skills, excellent oral and written communication capabilities, and a proven ability to handle growth and change within institutional settings. Proficiency in Microsoft Office and familiarity with event industry trends and terminology are also essential.

Job Duties
- Support the execution of SPA events by managing event logistics, ensuring smooth operations, and troubleshooting any issues that arise
- coordinate room reservations
- prepare events materials including name tags, programs, signage, and snacks
- assist with catering setup and distribution of food and beverages
- set up and break down event spaces including chairs, tables, and decorations
- assist with audio-visual setup and troubleshooting technical issues during events
- assist in developing and implementing SPA events including the PTI and SPA Leadership Program events
- work with the Communications team to develop, print, and distribute invitations, programs and signage
- maintain an online calendar for all events
- coordinate catering services including menu selection, vendor communication, and budget compliance
- manage administrative functions including filing, organizing paperwork, and composing correspondence
- submit alcohol approval forms and contracts for events
- interact and maintain communication with SPA faculty and staff and university departments
- manage scheduling and cleanliness of special event rooms
- operate as first point of contact for event inquiries
- manage supplies and replenish stock for event closets
- maintain inventory of promotional items and create swag bags and gifts
- provide administrative support to the Events team
- supervise student workers on occasion
- conduct research and schedule offsite venue arrangements
- perform other duties as assigned
