This role is integral to the firm's Events team and focuses on the coordination and seamless execution of a wide range of firm events. The Events Coordinator will be responsible for planning, organizing, and managing both internal and external events designed for lawyers, clients, recruits, and staff. Events encompass various formats including receptions, luncheons, dinners, outings, recruiting events, client development initiatives, and social gatherings. The position demands meticulous attention to detail, strong organizational skills, and the ability to collaborate across multiple departments such as Business Development, Legal Recruiting, Legal Personnel, and Human Resources to ensure every event aligns with the firm’s high standards.
The coordinator will use industry-standard software such as Cvent to manage event details, including invitations, RSVPs, venue booking, menu selection, and onsite staffing logistics. This involves handling contracts and ensuring flawless communication and follow-up before, during, and after events. The role also requires negotiation and due diligence with external vendors and venues to uphold Cravath's quality standards and budget expectations. Leveraging project management skills, the coordinator will create timelines, budgets, seating plans, event schedules, and support materials like name tags and badges.
The position is based in the New York office and offers a hybrid work schedule, recognizing the necessity for flexibility in today's professional landscape. The standard working hours are Monday through Friday, 9:00 a.m. to 5:00 p.m., with overtime, including evenings and weekends, required at times to support key events. Compensation ranges from $70,000 to $85,000 annually, supplemented with overtime pay and discretionary bonuses. Job Requirements
- bachelor's degree
- 2-3 years of experience in event coordination or management
- proficiency in event management software, preferably Cvent
- strong verbal and written communication skills
- excellent organizational and multitasking abilities
- experience in corporate or legal event environments preferred
- ability to work collaboratively with multiple departments and external vendors
- capacity to work overtime including evenings and weekends

Job Qualifications
- bachelor's degree required
- at least 2-3 years of experience in a similar field assisting with corporate or professional events
- corporate or legal industry experience a plus
- comfortable interacting with senior team members or leadership is beneficial
- excellent communication, both verbal and written, skills
- knowledge of Microsoft Word, Excel, and PowerPoint
- strong organizational, project and time management skills
- knowledge of NY venues and vendors a plus
- ability to work effectively with lawyers, staff and vendors of all levels to implement successful events
- creativity, flexibility, adaptability, excellent teamwork skills and an ability to work cross-functionally

Job Duties
- works closely with team members on the planning and execution of all in-person events, including creating and managing the event in the event management software (Cvent), conference room bookings, venue sourcing, contracts, menu selection, design of invitation, RSVPs, list management, onsite staffing, transportation and follow-up
- collaborates with events team on project management of larger events, including RSVPs, list management, seating plans, menus, preparation of name badges and support materials, audio visual, onsite staffing, entertainment, transportation and follow-up
- collaborates closely with other internal departments, such as Business Development, Legal Recruiting, Legal Personnel and Human Resources on events
- assists with the coordination of the summer group/team events and summer associate programming
- provides ongoing support, including drafting of event communications, organizing data, files, and materials, compiling information, preparing routine and ad-hoc reports and responding to requests for assistance
- provides support with event management software (Cvent) projects and updates, works with events team to ensure Cvent data is complete and accurate, runs reports as needed, and coordinates design and implementation of new Cvent templates
- researches site venues and vendors, makes in-person connections, maintains venue/vendor files and contact details
- conducts venue due diligence to ensure all partners meet Cravath quality standards, including service evaluations, space suitability and pricing accuracy
- alongside events team, handles on-site event preparation, execution and floor plan generations
- generates name tags, place cards and other event materials, as needed
- maintains the attendance records (as backup) for the events department reporting purposes
- uses project management skills and tools, such as timelines, budget worksheets, agendas and event schedules
- performs other duties, as assigned
