The Events Coordinator position at NCVC is a full-time, hands-on role central to the success of the organization's signature events. This role demands strong organizational skills, a detail-oriented mindset, and a passion for live event production. As an Events Coordinator, you will manage the intricate logistics and administrative needs of multiple events, ensuring smooth coordination from initial planning phases to final execution and wrap-up. Key responsibilities include coordinating vendor relations, managing event supplies, processing invoices, assisting catering logistics, and serving as an active liaison among agencies, vendors, VIPs, and internal teams.
This position offers an exciting opportunity to work on some of Music City's most iconic celebrations including Let Freedom Sing! Music City July 4th, New Year’s Eve Live: Nashville’s Big Bash, and the Music City Walk of Fame Induction Ceremonies. Being part of these flagship events means contributing to experiences that attract thousands of visitors and showcase Nashville’s vibrant culture on grand stages. The role requires adaptability and the ability to maintain composure under pressure while managing multiple priorities in a fast-paced environment.
This in-person role is based at NCVC's downtown Nashville office, reinforcing a collaborative work environment dedicated to excellence in event planning and execution. Attendance at NCVC flagship events is mandatory, including high-profile events on holidays and weekends. This role is a unique chance to advance your skills in event coordination by engaging with diverse stakeholders and navigating the multifaceted challenges of large-scale event production. The organization values professionalism, teamwork, and a service-oriented approach, ensuring employees represent the Music City brand positively at all times.
Candidates with at least two years of office administrative or event-related experience and proficiency in the Microsoft Office suite will find this position rewarding and suited to their skill sets. Lifting up to 30 pounds and a willingness to work flexible hours as event schedules demand are among the physical and scheduling requirements. - Bachelor’s Degree preferred
- Experience working with vendors contracts or event logistics preferred
Job Duties
- Coordinate administrative and logistical details across multiple NCVC events including meeting prep supplies invoice processing and distribution of event information
- Support food vendor contract processing credential and parking pass programs event insurance and waiver coordination
- Assist with catering logistics event design support and master event summary report management
- Serve as a liaison with State and Metro agencies subcontractors facilities vendors concessionaires talent NCVC members VIPs and the general public
- Maintain an updated and diverse vendor database and event resource materials
- Assist with miscellaneous event and NCVC projects as needed ensuring timely execution and clear communication
