We are currently seeking a full-time Events Coordinator who embodies the spirit of meticulous planning and supreme customer service. This role is integral to the seamless execution of private functions and club activities throughout the year. The Coordinator will be responsible for orchestrating the details of every event, ensuring that no aspect is overlooked, no matter how small. From guiding prospective clients through tours of our picturesque facilities to collaborating with the culinary, service, management, and operations teams, the successful candidate will demonstrate an unwavering commitment to excellence.

The Events Coordinator will work closely with members, guests, and internal teams to plan, sell, organize, and execute a broad spectrum of events — including banquets, weddings, showers, golf outings, and club functions. This position reports directly to the Clubhouse Manager and requires an individual who thrives in a fast-paced environment that values both interpersonal skills and organizational prowess. Responsibilities span preparing detailed Banquet Event Orders (BEOs), coordinating setups and timelines, communicating effectively across departments, and leading event staff during the execution phase to ensure a flawless guest experience.

Job Requirements

  • 2 to 3 years of experience booking banquets, private events, or catering functions in a high-end hotel, restaurant, private club, or similar hospitality setting

Job Duties

  • Lead event staff in executing the details of banquets, private events, club functions, and golf outings
  • Plan and coordinate details for weddings, baby showers, bridal showers, golf outings, and other special events
  • Give tours of Brookside’s facilities and confidently share how the Club can make each event feel memorable and special
  • Prepare, type, update, and distribute Banquet Event Order sheets so every department is aligned
  • Communicate event details clearly with culinary, service, management, and operations teams
  • Help ensure room setups, timelines, menus, service details, and guest expectations are organized before each event begins
  • Support event-day execution by staying visible, composed, and focused on the guest experience
  • Develop marketing and sales strategies to increase banquet and private event volume
  • Build strong relationships with members, guests, vendors, and internal team members
  • Represent Brookside with warmth, professionalism, and pride during every conversation and event
