The Events Coordinator plays a pivotal role within Ouzinkie Native Corporation, tasked with the comprehensive planning, organizing, and executing of shareholder engagement events. This includes the signature Annual Meeting of Shareholders, informational sessions, and various cultural gatherings that uphold the corporation's values and mission. The coordinator is responsible for managing event logistics meticulously — from selecting venues and arranging transportation to overseeing audio/visual technology and coordinating catering services. The role demands strong vendor management skills, ensuring that relationships with caterers, decorators, speakers, and entertainers are effectively maintained and aligned with event objectives. Budget management is a crucial responsibility, requiring the coordinator to control costs while maximizing event impact. On-site supervision during events is essential to guarantee smooth operations, quickly resolving any issues that arise during setup, execution, or teardown phases. Marketing assistance involves crafting promotional materials and tracking RSVPs to help engage attendees and boost participation. The position requires cultural competence and a deep understanding of Alaska Native culture and the Alaska Native Claims Settlement Act (ANCSA) framework, reinforcing the importance of culturally relevant and respectful event management. Administrative tasks include managing invitations, guest lists, volunteer coordination, and conducting post-event evaluations to continuously improve future engagements. Flexibility and travel readiness are key, as the role encompasses both remote and office-based work environments, often involving travel to remote locations via small aircraft, ferries, and watercraft under variable weather conditions. Job Requirements

  • High school diploma or GED required
  • ability to work on weekends or evenings as required
  • must have or be able to attain a valid state driver’s license and be insurable on company’s automobile insurance policy
  • ability to travel up to 50 percent of the time
  • frequent sitting, handling, reaching, talking, hearing and seeing
  • occasional walking, standing, and lifting up to 30 pounds
  • physical and mental ability to travel via small aircraft, ferry, and watercraft in extreme weather
  • maintain regular and punctual attendance

Job Qualifications

  • Proven experience in event planning, coordination, or administrative roles
  • exceptional organizational, time-management, and communication skills
  • excellent verbal and written communication skills for engaging diverse stakeholders
  • proficiency with Microsoft Office Suite and virtual meeting platforms
  • understanding of Alaska Native culture and ANCSA landscape preferred
  • bachelor’s degree in Hospitality Management, Business Administration, Marketing, Communications, or Public Relations preferred or equivalent work experience

Job Duties

  • Plan and oversee all event logistics including venue layout, catering, transportation, and audio/visual equipment
  • research, select, and manage relationships with vendors and talent
  • maintain and adhere to event budgets ensuring profitability or cost-efficiency
  • manage on-site event setup, execution, and teardown to resolve issues
  • assist in creating marketing materials and tracking attendee RSVPs
  • manage invitations, guest lists, event materials, volunteers, and post-event surveys
  • work flexible hours including weekends or evenings as required by event schedules
