The Events Coordinator at South Seas Island Resort plays a key role supporting the resort’s Events, Sales, and Marketing teams to ensure flawless execution of weddings, corporate meetings, group events, and social functions. This position is perfectly suited for a proactive and detail-oriented hospitality professional who thrives in a fast-paced, resort environment and enjoys orchestrating memorable guest experiences through expert coordination and communication. The Events Coordinator is responsible for maintaining accurate event documentation, preparing banquet event orders, room diagrams, and timelines, and collaborating closely with multiple departments including Catering, Banquets, Marketing, and Operations. Additionally, the role involves supporting site visits, tastings, client meetings, and assisting with event promotions in partnership with the Marketing team. This role emphasizes excellence in administrative and operational support by managing CRM records, tracking contracts and deposits, responding promptly and professionally to inquiries, coordinating with vendors, and assisting with event forecasting and revenue tracking.

The role offers a competitive pay range of $22.00 to $23.00 per hour and is non-exempt. Job Requirements

  • Ability to stand or walk for extended periods during events
  • Ability to lift up to 25 pounds
  • Ability to work indoors and outdoors in a resort environment
  • 1-3 years of experience in hospitality, events, catering, sales, or marketing
  • Resort or hotel experience strongly preferred
  • Proficiency in Microsoft Office
  • Ability to work flexible hours, including evenings and weekends when events require

Job Duties

  • Assist in coordinating weddings, corporate meetings, group events, and social functions
  • Prepare banquet event orders (BEOs), room diagrams, timelines, and internal documentation
  • Communicate event details clearly with operational departments
  • Support site visits, tastings, and client meetings as needed
  • Ensure contracts, deposits, and event documentation are tracked accurately
  • Partner with Marketing on event promotions, social media content, and resort activations
  • Maintain accurate event files and CRM records and answer incoming calls
  • Assist with reporting, event forecasting, and revenue tracking
  • Respond to event inquiries in a timely and professional manner
  • Coordinate with vendors and external partners as needed
