Job Description
The National Museum of Wildlife Art, located in the scenic Jackson Hole area of Wyoming, is an esteemed cultural institution founded in 1987. It houses an extensive collection of more than 5,000 artworks that showcase wild animals from across the globe. The museum features significant works by renowned artists such as Georgia O'Keeffe, Andy Warhol, Robert Kuhn, John James Audubon, Carl Rungius, Rembrandt Bugatti, Rosa Bonheur, Eugène Delacroix, and Rembrandt van Rijn. Its permanent collection magnificently traces the history and evolution of wildlife art from 2500 B.C.E. to the present day.
Strategically built into a hillside overlooking the National Elk Refuge, the museum not only offers visitors an extraordinary indoor art experience but also scenic outdoor attractions including a three-quarter mile Sculpture Trail designed by award-winning landscape architect Walter Hood. The museum encompasses a variety of amenities such as a museum shop, an interactive children’s gallery, the Palate restaurant, and regular special exhibitions. Recognized for its excellence, the museum was designated the "National Museum of Wildlife Art of the United States" through an act of Congress in 2008, underscoring its national importance and prestige.
The museum attracts over 65,000 visitors annually and runs educational tours for more than 3,000 children each year, continuing its mission to impart knowledge and generate wonder through art and education. The Events Coordinator position is a full-time, hourly, non-exempt role with a starting wage of $26.68 per hour, equivalent to an annual salary of approximately $55,500. The role is integral to supporting both the Programs & Events (P&E) department and the Events department, splitting time equally between the two areas. This hybrid position requires the coordinator to assist in the planning, coordination, and execution of a variety of special events, including both internally produced museum events and external facility rental events held on-site.
Key responsibilities include supporting the Events Manager and the Programs & Events Manager in all phases of event management—from initial planning through post-event activities. The coordinator is entrusted with maintaining detailed event timelines, run-of-show documents, and planning checklists, as well as preparing written correspondence, vendor agreements, and other essential documentation. Effective communication is crucial, as is collaborating with museum staff, volunteers, vendors, and the on-site restaurant. The role also involves managing event equipment, supplies, and providing basic audio-visual support during events.
In the Programs & Events department, the coordinator helps manage vendor communications, volunteer assignments, and training, oversees online event platforms, and assists with mailings and shipments. They also support the Western Visions Art Show and Sale by maintaining artist spreadsheets, handling artwork logistics, and coordinating outbound shipping.
In the Events department, responsibilities include managing private and facility rental events, coordinating client site visits, assisting with contracts, and supporting financial processes such as invoicing and payment tracking. Flexibility to work evenings, weekends, and occasional holidays is required, demonstrating a commitment to the museum’s mission, vision, and values.

- 1-2 years of relevant experience
Job Qualifications
- 1-2 years of experience in event coordination support role

- Experience with Gmail and Google Workspace

Job Duties
- Provide support to Events and Programs & Events departments leading up to, executing, and post-event tasks including feedback collection and continuous improvement
- Be familiar with Museum policies and procedures
- Represent the Museum by creating a welcoming, engaging, and mission-aligned experience for all guests and clients
- Maintain detailed event timelines, run-of-show documents, and planning checklists
- Prepare accurate written correspondence, vendor agreements, event resumes, emails, and other documents
- Communicate the events calendar with all internal departments
- Maintain organized event files, documentation, and templates to support process consistency
- Compile and maintain event reporting including financial, attendance, and KPI reports
- Collaborate with staff, volunteers, and vendors to coordinate logistics and support needs
- Support and lead event setup, execution, and teardown
- Maintain inventory and organization of event equipment, supplies, and materials
- Provide basic audio-visual and technical support for events
- Anticipate and respond to on-site needs, troubleshoot issues, and implement contingency plans
- Assist with planning, vendor correspondence, and execution of P&E events onsite and offsite
- Oversee volunteer assignments and training for events
- Manage various online event platforms
- Assist with mailings and shipments
- Assist with maintaining artist spreadsheets and artwork logistics for Western Visions Art Show and Sale
- Serve as liaison for outbound shipping with FedEx
