The Events Coordinator role at Barrow Wise Consulting is designed to support the company’s National Science Foundation (NSF) project, where effective event management is crucial to successful outreach and stakeholder engagement. This position requires a highly organized, creative professional who enjoys working on a variety of meetings, events, and conferences. The candidate will provide critical logistics support, coordinate vendors and venue services, and ensure all aspects of events—from set-up to breakdown—run smoothly and efficiently. The ideal Events Coordinator will be responsible for managing venue contracts, overseeing signage, decor, shipping, and catering arrangements while working closely with internal teams and external partners. Knowledge of federal compliance requirements such as Section 508 is essential, as is the ability to prepare detailed after-action reports to improve future events. Job Requirements

  • U.S. Citizenship
  • Bachelor's degree
  • Minimum seven years of experience
  • Minimum seven years of event coordination/management experience
  • Ability to carry/maneuver heavy equipment (50+ lbs)
  • Ability to provide samples including pictures of expo-style booths managed, inventory lists, and event checklists
  • Expert level skills in Adobe Creative Cloud
  • Expert level skills in Microsoft Office
  • Ability to gather requirements and work independently and in teams
  • Ability to take creative directions
  • Experience with asset management systems
  • Experience with trade exposition companies managing logistics and purchasing
  • Ability to manage complex shipping and receiving logistics
  • Ability to generate detailed after-action reports

Job Qualifications

  • Bachelor's degree
  • Minimum seven years of event coordination/management experience
  • Expert level of experience with Adobe Creative Cloud suite of products
  • Expert level of experience using Microsoft Office suite of products
  • Ability to gather requirements from stakeholders and work collaboratively within a team as well as independently
  • Ability to take creative directions from stakeholders
  • Demonstrated expert level of experience with asset management systems
  • Demonstrated expert level of experience working with major trade exposition companies, including managing relationships, purchasing materials and services, coordinating logistics
  • Demonstrated ability to manage shipping and receiving logistics including direct-to-site, warehouse, overnight, and event-to-event shipping
  • Ability to generate detailed after-action reports

Job Duties

  • Provide logistics support for a variety of meetings, events, and conferences
  • Provide direct support to internal and external events, including managing venue requirements, signage, invitations, attendance, and other requirements as needed
  • Research requirements and context for various events, meetings, and conferences, to ensure that the NSF Director and OLPA Staff are prepared to interact with various audiences and stakeholders
  • Identify and manage inventory for educational information resources and other outreach materials
  • Coordinate exhibit design, technology, and management with designated vendors/partners
  • Provide expert guidance on the most efficient and effective options for building/curating/creating exhibits and activations, supplies, and experiences to suit specific event needs
  • Ability to carry/maneuver various pieces of heavy equipment (50+ lbs) for onsite events and exhibits (e.g., carrying banners/boxes of materials to rolling crates)
  • Oversee all logistical elements of designated events, including working with venue staff to manage contracts, signage/decor, shipping, and catering needs
  • Independent room setup and take down for smaller events/projects
  • Provide pricing/purchasing for signage/decor in concert with the NSF branding team
  • Provide set-up, breakdown, and support throughout the event to ensure it runs smoothly
  • Ensure federal compliance such as 508 compliance
  • Generate detailed after-action reports for each event
