Job Description

It is committed to fostering an inclusive, collaborative, and professional workplace where employees can thrive and contribute meaningfully to the mission.The role available is for an Event and Volunteer Coordinator who will work closely with the Manager of Volunteers and Events to execute high-quality events and activities that support the organization's development and outreach goals. This is a full-time position that requires meticulous organization, excellent communication skills, and the ability to manage multiple tasks efficiently. As part of the Development Department and Volunteer Services, this position plays a crucial role in coordinating event logistics, fostering relationships with vendors, volunteers, sponsors, and internal teams, as well as supporting the overall event strategy and execution.The Event and Volunteer Coordinator will be responsible for researching and vetting potential event venues and vendors, assisting in the preparation of event plans and schedules, coordinating room layouts, and managing logistical supplies including food, beverages, invitations, and decor. A significant part of the responsibilities includes tracking RSVPs, ensuring smooth onsite event production, coordinating with volunteers and students for staffing, managing sponsor and vendor relationships, and handling multimedia and audiovisual needs. The coordinator will also support communications for events, creating timely reminders and managing unique event registration pages.The role includes post-event duties such as closing out events with CRM data entry, reconciling expenses, gathering feedback, updating standard operating procedures (SOPs), and sending appreciation correspondences to sponsors, donors, and volunteers. The coordinator will maintain the master calendar for all events and support scheduling for a wide range of activities including fundraising events, community workshops, birthday celebrations, and corporate meetings. Collaboration with the executive team and volunteer services is essential to support varied projects and activities. Attendance at meetings, both internal and with partner organizations, rounds out the role.This position offers opportunities for professional growth within a values-driven nonprofit environment. Job Qualifications

  • A personal relationship with Jesus member of a local Bible believing Church good working knowledge of the Bible signed acknowledgment of the Statement of Faith
  • Proficiency with Windows Microsoft Office including Word Excel Outlook PowerPoint Internet Explorer database entry reporting and maintenance
  • Ability to recognize and maintain confidentiality of information
  • Excellent organizational and administrative skills

Job Duties

  • Research vet and secure event spaces vendors and other needed resources
  • Assist in preparation of event plans and run of shows
  • Create and revise room layouts schematics
  • Arrange food and beverage
  • Prepare supplies and ensure appropriate decor including invitations name tags registration lists gift bags florals linens color schemes etc
  • Track RSVPs
  • Assist in communications and cross-functional collaboration with other teams for successful event execution including timely reminders of upcoming events unique landing pages for registration and information onsite production staffing events with volunteers and or students sponsor relationships vendor relationships multi-media video music marketing materials audiovisual clean-up
  • Assist in closing out all events as directed including CRM data entry pending transactions reconciling expenses gathering feedback updating SOPs sending thank you notes letters receipts to sponsors funders GIK donors volunteers and vendors
  • Responsible for updating the Master Calendar Display for events and the Annual Events Calendar including fundraising program and special events program groups and classes sponsored student birthday celebrations performances and workshops with community partners case management groups conference room reservations catering requests
  • Assist on events projects and or activities as needed for the executive team and Development Department
  • Support Volunteer Services with volunteer-centric events including serve days at DRR campus and large volunteer group serve days at Village of Hope
  • Attend monthly biweekly meetings on behalf of the events team including Mariners Church Case Manager Supervisors department tea meetings
  • Assist with other volunteer resources tasks and assignments as needed
