The role of Events Coordinator at Simpson Thacher & Bartlett LLP focuses on supporting the firm’s initiatives through the organization and execution of engaging and high-quality events. This position is integral to maintaining the firm’s reputation for excellence and client service in a demanding and fast-paced environment. Reporting to the Director of Administration, the Events Coordinator works collaboratively with multiple departments such as Client Development & Engagement, Legal Recruiting, and Administration. The responsibilities include organizing a variety of events ranging from practice group gatherings to client-related events and recruiting functions, ensuring seamless execution from initial planning to post-event follow-ups.

This role requires strong logistical coordination, including managing venue and vendor selections, invitations, décor, staffing, and budget tracking. The Events Coordinator serves as a liaison between internal stakeholders and external vendors, ensuring transparent communication, timely contract management, and adherence to the firm’s standards. In addition to event planning, the role involves maintaining relationships with service providers, staying updated on new venue options, and continually optimizing the event management process through innovative tools and technology.

A key component of this role is the management of the Los Angeles-based client holiday gifting program, in partnership with relevant teams, ensuring smooth selection, ordering, and delivery of gifts that reflect the firm’s brand and client appreciation standards. The coordinator also supports additional firm initiatives and projects as needed, often requiring collaboration across offices and departments.

The ideal candidate possesses excellent communication and organizational skills, with a strong ability to manage multiple projects and work independently and collaboratively. They must demonstrate professionalism, a client-service mindset, and the ability to build relationships with partners, clients, colleagues, and vendors. Proficiency in Microsoft Office and Adobe Suite, and experience with Client Relationship Management (CRM) systems, are critical for success. The position requires physical presence in the Washington, D.C. office at least four days per week and flexibility to work additional hours and travel as necessary.

The estimated salary range for this position, specific to California, is $65,000 to $80,000, with actual compensation depending on experience, education, and other factors. This role is non-exempt and eligible for overtime pay. Job Duties

  • Organize, coordinate and support execution of Firm-sponsored events, focusing on regional events, collaborate with Client Development & Engagement and Legal Recruiting colleagues
  • Coordinate and provide logistical event support including venue and vendor research, site inspections, invitation design and distribution, menu selection, décor, staffing, and promotional items
  • Serve as liaison between Office of General Counsel, internal stakeholders, and third parties to manage event contracts ensuring clear communication and thorough review
  • Establish and maintain relationships with restaurants, caterers, hotels, and other event service providers
  • Track event expenses and approvals, review and process invoices, assist with post-event reconciliation and ROI analysis
  • Work with stakeholders to execute event protocols ensuring high standards of delivery, service, and attention to detail
  • Research and implement improvements in event planning processes and technology to enhance attendee experience and cost-effectiveness
  • Maintain the integrity of the Firm’s CRM by updating event-related data
  • Coordinate and execute Los Angeles-based client holiday gifting program, managing gift selection, ordering, delivery, and internal tracking
  • Support additional Firm initiatives and collaborate with other departments and offices as needed
  • Perform additional duties as assigned to support event success and client service excellence
