Job Requirements

  • Bachelor's degree or higher in event management, communications, public relations, marketing, business administration, or related field or three years of relevant experience
  • five years of professional experience supporting conferences, trade shows, exhibits, or large-scale events
  • demonstrated ability to coordinate and support multiple events simultaneously
  • strong written and verbal communication skills
  • experience supporting event logistics and shipping coordination
  • proficiency with Microsoft Office 365 applications
  • experience using event coordination tools and project tracking systems
  • experience coordinating with trade exposition companies, vendors, and venue staff
  • ability to collaborate with multidisciplinary teams
  • preferred experience with Adobe Creative Cloud, event registration platforms, and knowledge of federal accessibility requirements

Job Qualifications

Job Duties

  • Support OLPA outreach initiatives by assisting with event planning, coordination, logistics management, and documentation activities for conferences, meetings, exhibits, and stakeholder engagement events
  • assist in developing and maintaining event schedules, logistics plans, event checklists, and run-of-show materials
  • coordinate venue requirements, event technology, signage, invitations, registration systems, and event materials
  • track event logistics, inventory requirements, shipping activities, and vendor coordination
  • support implementation of event plans for conferences, trade shows, expos, and outreach initiatives including event setup, on-site coordination, and breakdown activities
  • assist with maintaining event planning documentation, operational procedures, exhibit management processes, and outreach resource inventories
  • support coordination of speakers, moderators, attendees, and external partners including managing RSVP lists and event communications
  • collaborate with communications staff, outreach teams, digital media staff, vendors, and external stakeholders
  • provide on-site event support to ensure smooth event operations
  • ensure event materials and activities comply with federal communication requirements including Section 508 accessibility standards and NSF branding
