The role of Events Assistant is a vital part-time position within the university's Advancement team, offering logistical and administrative support for the planning and execution of the university's key events. This position is designed to assist with every phase of event management, including preparation, guest communication, data entry, as well as on-site execution and post-event follow-up. Working up to 29 hours per week, the Events Assistant plays a crucial part in ensuring that events run smoothly and create a positive, memorable experience for all attendees. The job demands flexibility since it includes working evenings and weekends to accommodate the timing of events.

As an Events Assistant, responsibilities include supporting setup and breakdown operations by placing signage, registration materials, décor, and supplies, and ensuring all necessary elements are in place before events begin. Hospitality duties such as welcoming guests, assisting with check-in, and communicating clear directions contribute to the overall guest experience. Transportation and delivery of event materials to various campus and off-campus locations require organizational skills and reliability. The assistant also monitors event spaces throughout each function to maintain order and readiness, which includes coordinating volunteers and student workers when needed.

In addition to on-site responsibilities, the Events Assistant supports administrative functions vital to event success. This includes preparing nametags, registration packs, signage, and other materials; managing event technology platforms such as Cvent; maintaining inventory of supplies; and organizing event-related files and storage. Job Duties

  • Assists with event setup and breakdown including placement of signage registration materials decor and event supplies
  • Provides registration and hospitality support during events by welcoming guests assisting with check-in and directing attendees as needed
  • Transports and delivers event materials supplies and equipment to on-campus and off-campus event locations
  • Monitors event spaces to ensure supplies materials and guest-facing areas remain organized stocked and presentation-ready
  • Assists with the scheduling preparation orientation and coordination of volunteers and student workers during events as directed
  • Supports post-event activities including distribution of follow-up communications collection of event materials and completion of administrative tasks as assigned
  • Provides general on-site event support to help ensure a positive guest experience and the smooth execution of advancement events
