About the Virginia Zoo: Established in 1901, the Virginia Zoo is a cherished cultural and educational landmark situated in Norfolk, Virginia. About the Role - Event Assistant: The Virginia Zoo is currently seeking a dedicated and detail-oriented Event Assistant to join its team on a full-time basis. Reporting directly to the Events Manager, this non-exempt position plays a key role in the planning and execution of a variety of engaging events throughout the year. As an Event Assistant, your primary responsibilities will revolve around supporting the Events Manager and the Events Department by coordinating vendors, collaborating with the marketing team for event promotion, and managing administrative tasks essential for smooth event operations.

In this role, you will assist in communicating with vendors including DJs, food trucks, bounce house rentals, and various community partners, ensuring that logistical details such as arrival times and load-in/load-out procedures are well coordinated. Maintaining vendor agreements and ensuring compliance with zoo policies will also be critical aspects of your job. You will actively contribute to developing new partnerships and sponsorships that enhance the overall event offerings, helping to create memorable experiences for attendees.

Event Assistant duties also include distributing promotional materials within the community to boost event attendance, assisting with event setup and breakdown, and serving as an onsite point of contact during events to answer guest inquiries. Your organizational skills will come into play as you maintain event checklists, timelines, itineraries, and post-event reports. Moreover, you will collaborate closely with other zoo departments and volunteers to ensure a seamless event experience.

Success in this role demands excellent organizational and communication skills, the ability to manage multiple priorities, and comfort working in a fast-paced and occasionally stressful environment. Proficiency with Microsoft Office Suite, flexibility to work nights and weekends, and maintaining confidentiality relative to donor and prospect information are also essential. The hourly salary range for this role is $15 to $17.50, reflecting the value placed on these skills and responsibilities. Job Qualifications

  • Bachelor's degree preferably in hospitality event planning tourism parks and recreation or communications or equivalent experience
  • Experience with site maps/plan-o-grams is a plus
  • Experience working events is a plus
  • Experience working as a venue coordinator and/or with outdoor events is preferred
  • Experience with working with 3rd party vendors is a plus
  • Understanding and knowledge of the local Norfolk community is a plus
  • Experience in event planning hospitality marketing or related field preferred

Job Duties

  • Assist with vendor communication including DJs bounce house rentals food trucks community partners and local businesses
  • Coordinate vendor logistics such as arrival times load-in/load-out procedures and contract requirements
  • Maintain vendor agreements and ensure compliance with zoo policies
  • Assist with the development of new vendor partnerships and sponsorship coordination to enhance event offerings
  • Distribute flyers and promotional materials around the community to generate excitement and increase event attendance
  • Assist with event setup breakdown and onsite coordination
  • Contribute to departmental brainstorming and developing sessions for exploring new event ideas while maintaining the overall vision and goals of the Virginia Zoo Events Department
  • Provide general administrative support such as responding to event inquiries organizing event-related documents maintain event checklists timelines itineraries DJ notes FAQs vendor contact lists and post-event reports
  • Serve as an onsite point of contact for guests during events answering questions about schedules activities and amenities
  • Assist with event signage and wayfinding placement to assist guests with navigating Virginia Zoo events
  • Gather informal feedback from guests to help improve future events
  • Work closely with other zoo departments and volunteers to ensure smooth event execution
  • Conduct inventory audit of event supplies and initiate reorders when necessary such as signage decorations wristbands table covers giveaway items
  • Assist with collecting attendee and staff feedback through surveys
  • Provide post-event recaps including financial data attendance and survey feedback
  • Provide support for private rental events and birthday parties prior to during and after
  • Other duties as assigned
