The role of the Events Assistant at PMI Entertainment Group is crucial in supporting the operational and administrative functions of the event departments. This full-time hourly, non-exempt position reports to the Senior Event Designer and does not involve supervising other staff. The assistant works closely with various internal teams and external clients to ensure the successful execution of events. The primary responsibility is to provide comprehensive support for trade shows, expos, and various other types of events, assisting with everything from planning stages to post-event follow-up.
This role requires a diverse skill set, including administration, customer service, and operational coordination. The Events Assistant will participate in event planning sessions, manage day-of-event logistics such as exhibitor check-in and equipment rentals, and coordinate communications among departments and event participants. Proficiency in tools like Wordpress, Momentus, Microsoft Office Suite including Teams, Trello, and social media platforms like Facebook and Instagram is essential to efficiently handle the administrative tasks and event-related technology.
Additionally, the Events Assistant plays a key role in maintaining important documentation such as contracts and certificates of insurance, ensuring all are current and compliant with event requirements. The position also involves managing event signage, material handling logistics, and crafting individual event portals to facilitate smooth operations. Being Manager on Duty (MOD) for events to oversee event execution and troubleshoot issues as they arise is another important responsibility.
Strong communication skills, excellent interpersonal abilities, and a professional demeanor are critical for success in this role. The candidate must be adaptable, detail-oriented, and capable of managing multiple priorities under tight deadlines. The position demands occasional work during nights, weekends, and early mornings aligned with the event schedule to ensure seamless event execution. Physical requirements include the ability to lift up to 50 pounds and perform mobility tasks during event setup and breakdown.

Job Requirements
- 1-2 years in the events industry preferred but not required
- previous experience supporting multiple teams preferred
- ability to review contracts and understand legal terms and verbiage
- frequent mobility and/or sitting or standing for extended periods
- eye-hand coordination and manual dexterity sufficient to operate computer and office equipment
- hearing within normal range and eyesight correctable to 20/20
- ability to occasionally push, pull, and lift up to 50 pounds
- must be available to work nights, weekends, and early mornings
- ability to deal with patrons in a tactful and discretionary manner

Job Duties
- Demonstrates and embodies the PMI Entertainment Group culture and customer service values
- serves as administrative support to the event departments
- serves as a customer service resource regarding venue operations, events, and PMI staff
- learns how to manage and operate Momentus
- coordinates and communicates details to other departments to allow execution of events by participating in event planning sessions, day of event support, and event week preparations
- coordinates and communicates details to exhibitors and sponsors
- participates as Manager on Duty (MOD) for events
- assists with clerical duties such as note taking, copying, faxing, data entry, shredding and filing
- gathers and reports event attendee numbers and other data as requested
- maintains contract files and other related records
- ensures certificates of insurance are accurate, current, and compliant with contracts
- uploads contracts and insurance certificates into database (Momentus)
- compiles, distributes, collects, and organizes event signage
- manages material handling including labeling, shipment distribution/collection, and fee payments
- creates individual event portals and monitors orders
- confirms that box offices, show offices, and green rooms are show ready
- conducts pre-event walk through to compile operational and housekeeping needs
- supports parking, catering, housekeeping, and operations departments
- monitors website event listings
- follows company safety programs, procedures, and training
- maintains neat, clean appearance and courteous communication with business contacts and public
- performs other duties and projects as requested
