Job Description

All Classical Radio is a premier classical music radio station and comprehensive arts network based in Portland, Oregon. Renowned as one of America’s top classical music broadcasters, All Classical Radio serves nearly a quarter of a million local listeners across Oregon and Southwest Washington, with millions more tuning in worldwide through its mobile app and online streaming platforms. The station operates out of its state-of-the-art Irving Levin Performance Hall and James DePreist Recording Studio situated in the iconic KOIN Tower downtown Portland. This venue and studio are not only integral to the station's operations but also serve as vibrant hubs for performances, recordings, workshops, and community events.

The Events and Venue Manager position at All Classical Radio is a crucial role responsible for overseeing all aspects related to studio and hall rentals, venue use, and station event management. This includes managing the full lifecycle of event rentals and venue partnerships—from promoting the spaces to potential renters, handling inquiries, scheduling and contracting, logistical planning, coordinating personnel, to executing and following up on events. The manager acts as the primary liaison for renters, partners, and vendors, ensuring seamless communication and successful event delivery. Additionally, this leader manages a roster of contractors, including audio engineers, videographers, and venue assistants, contributing to the overall operational excellence of events.

This role also collaborates extensively with the management and marketing teams, brainstorming and developing innovative opportunities to activate and promote the performance hall and recording studio. The position demands a highly organized, self-starting individual with excellent communication and customer service skills. A successful candidate enjoys working in a dynamic, fast-paced environment, balancing multiple priorities while maintaining a positive attitude and entrepreneurial spirit.

Examples of managed events include live musical performances, recording sessions, live broadcasts, workshops and classes, dinners and networking events, theater and dance rehearsals, and much more. Given the dynamic nature of these events, the work schedule is varied and requires availability during daytime, evening, and weekend hours, with readiness for contact after hours when necessary.

The Events and Venue Manager also plays a hands-on role in event production, coordinating setup and cleanup, supervising event staff and contractors, and troubleshooting technical problems in real time. They ensure top-notch facilities management, maintaining cleanliness and functionality of associated venues and spaces. Furthermore, this role supports station initiatives, including the weekly live concert broadcasts and various station-hosted events like open houses, donor receptions, and artist recitals.

Job Requirements

  • 21 years or older
  • A minimum of three years events management experience, managing a live event venue, or equivalent
  • Professional, friendly, personable, and enthusiastic
  • A hard worker with the ability to self-manage
  • Strong PC computer skills
  • Must be available and willing to work evenings and weekends, and must be reachable via phone and/or email after business hours
  • Excellent communication skills including presentation, persuasion, and negotiation skills required in working with coworkers, volunteers, customers, and contractors
  • Ability to prioritize multiple tasks, manage time and stress levels and proactively solve problems, while maintaining a positive attitude
  • Ability to work with diverse constituencies
  • A fundamental belief in and ability to deliver exceptional customer service and to convey All Classical Radio's value and importance
  • Readily build and maintain positive relationships with sponsors and colleagues
  • Skillful tech problem-solving abilities and an aptitude for mastering new technologies

Job Qualifications

  • 21 years or older

  • Ability to prioritize multiple tasks, manage time and stress levels and proactively solve problems, while maintaining a positive attitude
  • Ability to work with diverse constituencies
  • Knowledge of WordPress, photography, and still/video editing are a plus
  • A fundamental belief in and ability to deliver exceptional customer service and to convey All Classical Radio's value and importance
  • Readily build and maintain positive relationships with sponsors and colleagues
  • Skillful tech problem-solving abilities and an aptitude for mastering new technologies
  • College degree, minimum two years of customer service, and work experience in management or event planning preferred
  • Experience with Perfect Venue or similar event management CRM/software preferred
  • Experience with Adobe Creative Cloud Tools, Canva, or similar preferred
  • Background in music and music recording is a plus
  • Interest in and commitment to the core values of public service media
  • Knowledge, love of, and excitement for classical music and the arts
  • Demonstrated ability to work both independently and collaboratively under deadline pressure
  • Proven business acumen and intellectual curiosity, creativity, reliability, and rigor

Job Duties

  • Manage all events taking place in All Classical Radio's performance hall, recording studios, and related spaces including station-hosted, partnership, and rental agreements
  • Maintain policies, procedures, and documentation for events including rates and rental records
  • Serve as liaison between renters or partners and All Classical Radio, coordinating logistics including equipment needs, staffing/contractor needs, participant or guest communications including parking and travel
  • Oversee event rental CRM including task assignment to relevant staff as needed
  • Oversee hall and studio calendars including CRM calendar, internal facility calendars, external listings, and coordination with Cultural Events calendar
  • Collaborate with marketing team to promote venue, rental and recording opportunities, partnerships, and other event and venue-related content
  • Communicate with building management regarding event needs including but not limited to loading dock, parking garage, HVAC accommodations, additional space usage
  • Ensure hall, studio, and green room setup and clean-up meets renter/partner requests and requirements
  • Function as primary on-site staff member during events or ensure appropriate coverage and staffing if not present
  • Schedule/supervise additional event team members as needed including audio engineers, contractors, colleagues, or volunteers, in collaboration with management, engineering, and volunteer coordinator
  • If applicable, oversee and monitor live stream content, uploads, tagging, and promotion
  • Maintain working knowledge of key technology (computers, audio/video software) to enable troubleshooting in real time for issues not requiring engineering expertise
  • Ensure cleanliness, organization, and functionality of hall, studios, storage rooms, green room, and related spaces
  • Support engineering department in routine inventory of hall and studio including furniture/accessories and audio equipment
  • Assist engineering with technical troubleshooting of equipment, including cameras, lights, and audio, for recording, live streaming, and other equipment
  • Prepare, maintain, and set necessary event signage
  • Oversee weekly Thursdays @ Three live concert broadcast logistics including: ticketing and audience communication management
