The Events & Spaces Coordinator role within the Downtown Main Library presents a dynamic opportunity for a motivated individual to take a leadership role in managing the scheduling, coordination, and execution of both internal and external events and meeting spaces. The Coordinator will be responsible for overseeing the logistics of system-wide meetings, large-scale special events, and community partnerships, ensuring that all aspects from room setup and audiovisual equipment to staffing and crowd control are handled efficiently and professionally.

This full-time, 40 hours per week position includes working during evenings and weekends as needed to support event schedules. The salary range offered spans from $49,940.80 to $62,441.60, reflecting the importance of this role within the institution. The Coordinator will prepare cost estimates, assist in budget planning, manage purchasing and fiscal processes, and collaborate closely with multiple departments such as Public Safety, Facilities, and Hospitality to guarantee event success.

The ideal candidate will have at least two years of relevant experience in event planning or meeting room coordination, possess a high school diploma or equivalent, and preferably hold a bachelor’s degree in Public Relations, Communications, Hospitality Management, or a related field. A valid driver's license with a clean driving record is mandatory. This role requires the ability to work independently, handle multiple tasks simultaneously, and demonstrate a commitment to the Library’s values and community-oriented mission. Job Requirements

Job Duties

  • Prepares special event cost estimates and assists with preparing an annual budget for system-level special events
  • manages fiscal processes and systems such as W-9, POs, check requests, and credit card management
  • coordinates logistics for the Library's regular meetings, board meetings, and system-level large or special events including speakers and community participation
  • manages and executes post-event processes to ensure smooth closure and customer satisfaction including invoice processing and attendee feedback collection
  • uses customer feedback, surveys, and evaluation tools to enhance event success, impact, and identify future opportunities
  • tracks deadlines and deliverables, prepares summary statistics and reports to support planning and decision-making
  • collaborates with the Programs & Events Manager to develop and maintain an annual calendar of special events aligned with Library goals
  • assists locations with event planning and coordinating major events
  • reviews venues to determine proper accessibility, signage, equipment, room setup, staffing, and crowd control
  • serves as point of contact for procuring and directing staff and volunteers at system-level special events
  • maintains and troubleshoots audio-visual equipment and runs A/V during events
  • assists in coordination of Main Library exhibits and tours
  • supports and advances the Library's mission
  • embraces and embodies the Library's core beliefs, strategic priorities, and pillars of excellence
  • demonstrates commitment to diversity, equity, and inclusion efforts
  • complies with Library's code of conduct and policies
  • performs other duties as assigned
