The role of Event and Promotions Coordinator at LMU is an integral position within the CPD office, reporting directly to the Associate Director of Strategic Partnerships. This full-time staff role focuses on orchestrating a diverse array of events and programs that support the career and professional development of students and alumni. The coordinator acts as the key point of contact responsible for overseeing production standards, promotion, and logistical organization of CPD’s events, including signature events, career expos, workshops, and special programs. Beyond event management, the role involves managing the Mane Apparel career closet, an important resource for students preparing for professional opportunities. This position also includes supervisory responsibilities for student workers, providing mentorship and guidance to support their development as part of LMU’s commitment to experiential learning.

Key responsibilities include planning and executing high-quality, creative events that align with LMU’s brand and strategic goals, maintaining a detailed calendar of events and programs, and coordinating with internal stakeholders such as CPD staff and LMU’s Enrollment Management team, as well as external vendors and community partners. The coordinator ensures the seamless delivery of all event logistics such as catering, signage, security, setup, and transportation needs. Additionally, the coordinator actively develops and implements promotional strategies to enhance the visibility and impact of CPD’s initiatives, collaborating closely with LMU’s Marketing and Communications team to create targeted content and materials distributed through various channels including social media, digital platforms, and print collateral.

This role requires a highly organized, proactive professional with excellent communication and interpersonal skills capable of managing multiple projects simultaneously. The successful candidate will have a strong understanding of event planning best practices and demonstrated expertise in promotional content creation and brand messaging. Familiarity with software tools such as Microsoft Office Suite, Hootsuite, Wufoo, and social media platforms is essential, along with the ability to adapt to new technologies swiftly. Experience working within academic settings or student services is advantageous, supporting LMU’s mission to provide holistic career education grounded in real-world experiences.

LMU offers a competitive salary range of $25.87 to $32.31 per hour, commensurate with education and experience. Job Requirements

  • Typically a bachelor’s degree or equivalent experience
  • Minimum 4 years administrative support experience
  • Two-year experience working in event/program management, promotions, public relations, social media management, publicity, brand strategy student services, or equivalent
  • Demonstrated working knowledge of event planning, quality assurance, production, and event/program management best practices
  • Demonstrated working knowledge of effective promotional strategies with exceptional writing, editing, and content creation skills
  • Established computer competency and knowledge of Microsoft Office Suite, Hootsuite, Wufoo and social media platforms
  • Solid organizational, interpersonal, communication, and time management skills with the ability to handle multiple projects independently and simultaneously
  • Ability to collaborate with internal and external stakeholders, be tactful under pressure, use good judgment, troubleshoot proactively, and work well in teams
  • Familiarity with academic environments and experiential learning best practices

Job Duties

  • Organize high quality, well-planned creative events and programs including CPD signature events, career expos, workshops, and other special events as assigned
  • Develop and maintain an organized events/programs calendar and coordinate meetings to keep event timelines and execution on track for Career and Professional Development with CPD staff, the campus community, vendors, and external stakeholders
  • Manage and fulfill all aspects of the event planning process, including coordination of on-site event logistics such as catering, signage, displays, special needs requirements, staging, setup, event security, and services such as parking, lodging, and transportation to and from events for speakers and VIPs
  • Track and order event inventory, draft event layouts in consultation with CPD event leads, and oversee event registration including creating online registration forms, event tips pages, and nametags
  • Coordinate all student engagement messaging to maintain and enhance the brand image and presence of CPD and prepare event timelines to manage print and delivery deadlines between CPD, Enrollment Management, and LMU Marketing and Communications
  • Distribute targeted information about events and career opportunities to students through Handshake, print collateral, and social media
  • Collaborate with Enrollment Management’s Communications and Marketing team to coordinate design, print, and distribution of event flyers, program handouts, social media tiles, digital signage, branded digital promotions, and related promotional materials in line with LMU guidelines and policies
  • Represent CPD at LMU-wide Marketing and Communications Managers meetings and serve as CPD liaison to LMU Student Media
  • Supervise student workers dedicated to events and promotions, providing mentorship, support, and guidance
  • Participate as a member of CPD staff in setting department goals, planning programs and events, and assisting with overall operations
  • Serve as an active contributor to the Division of Enrollment Management and Career and Professional Development, participating in campus-wide events and committees as requested
  • Represent the university through involvement in national and regional professional associations and in strategic partnerships with LMU employers, alumni, parents, and other external stakeholders
