The Events & Programming Coordinator role at Hudson Pacific Properties is designed to support activation initiatives for retail assets within the company's portfolio, notably including the iconic San Francisco Ferry Building. Reporting directly to the Director of Programming and Events, this position plays a crucial role in delivering engaging events and programming that enhance the public experience and activate retail spaces at Hudson’s properties. The coordinator is charged with assisting in the design and execution of seasonal initiatives, promotions, and events that attract visitors and support merchant engagement. Key responsibilities include managing event calendars, budgeting, securing permits and scheduling with city agencies, drafting marketing content, setting up event ticket pages, and responding to public inquiries with professionalism. Additionally, the role requires providing administrative support for event contracts, vendor invoicing, and supply inventory management. On event days, the coordinator acts as the main onsite contact, facilitating coordination among property teams, security, engineering, custodial staff, and vendors to ensure seamless event execution. The role also involves capturing onsite photography, monitoring digital social trends related to events and retail offerings, and contributing as a thought partner in retail, events, and marketing strategies. This position demands strong organizational and communication skills, flexibility with scheduling including nights and weekends, and the capacity to collaborate effectively with diverse partners and vendors. With at least two years of related experience and a preference for candidates with a four-year college degree, the Events & Programming Coordinator is an essential team member dedicated to making each event successful and impactful within Hudson Pacific Properties’ dynamic and innovative real estate portfolio.

Job Requirements

Job Duties
- Support the creation and execution of retail marketing and public events and programming at Hudson’s public-facing assets such as the San Francisco Ferry Building
- Collaborate on the design of seasonal initiatives, giveaways, events, and promotions
- Maintain up to date calendar for public events, merchant events, and tenant events
- Track expenses for events and programming initiatives
- Assist with permitting and scheduling with city agencies such as SFDPH, SFFD, ABC, BCDC, Port, etc.
- Draft event descriptions and collect marketing assets such as graphics, photos, and website/social links
- Create public event ticket pages and monitor sales
- Respond to event queries from the public in a timely and professional manner
- Create event timelines and layout diagrams
- Provide administrative support for events contracts
- Collect, process, and track vendor invoices and COIs
- Research, order, and track supply inventory
- Act as the main onsite contact for public events
- Work with property teams, security, engineering, and custodial teams from planning to execution
- Facilitate event set-up, merchant communication, and vendor management on event days
- Act as a thought partner for events, retail, and marketing
- Provide onsite photography for events and special offerings
- Track digital social trends for events and retail
- Other duties as assigned
