Alongside its operational support for resident startups, The Engine also hosts hundreds of events annually, serving as a vibrant meeting point for founders, investors, researchers, policymakers, and leaders from multiple sectors around the world.

We are currently seeking a highly organized and detail-oriented Events & Operations Associate to join our dynamic team. This full-time, in-person role based in Cambridge, MA, offers a competitive salary range of $60,000 to $80,000 per year. Reporting directly to the Program Manager, this position requires a professional who thrives at the intersection of hospitality, operations, project management, and community engagement. The role involves comprehensive management of events and programs within The Engine’s conference and gathering spaces, from the initial inquiry to successful event execution. This includes handling logistics such as room setup, catering, audiovisual support, staffing, security, and vendor coordination. The ideal candidate will also support internal programming efforts and contribute to cross-functional initiatives aimed at enhancing the experience for our startup community.

The successful Events & Operations Associate should be adept at managing multiple concurrent events while maintaining an unwavering attention to detail and delivering excellent customer service throughout. Working closely with teams across marketing, programming, operations, and leadership, you will act as the primary liaison ensuring smooth and professional event delivery. Flexibility is essential as the role demands regular on-site presence, including support outside traditional business hours for early mornings or evening events. Additionally, this position requires proactive communication skills to efficiently collaborate with diverse stakeholders such as founders, partners, vendors, sponsors, and guests. Apart from event management, you will play a key role in optimizing project management systems, improving operational procedures, and fostering a welcoming environment that aligns with The Engine’s mission. Job Requirements

  • Bachelor's degree or equivalent experience
  • 2-5 years of relevant experience in event management, operations, hospitality, project management, or related fields
  • strong organizational skills
  • excellent communication skills
  • proven ability to handle multiple projects simultaneously
  • flexibility to work outside normal business hours as needed
  • ability to provide on-site event support in Cambridge, MA
  • proficiency with basic audiovisual equipment
  • experience coordinating with vendors and stakeholders

  • valid work authorization for the United States

Job Qualifications

  • 2-5 years of experience in event management, operations, hospitality, project management, or related fields
  • exceptional organizational and time management skills with the ability to manage multiple priorities without losing attention to detail
  • strong written and verbal communication skills
  • comfortable operating in a highly collaborative, fast-paced environment
  • strong sense of ownership and consistent follow-through
  • experience with event operations, venue coordination, or hospitality is strongly preferred
  • experience with project management or CRM tools such as Monday.com and HubSpot is a plus
  • familiarity with AI tools is a bonus

Job Duties

  • Manage inbound event inquiries and lead planning from intake through execution
  • develop proposals, timelines, run-of-shows, and cope planning documents
  • coordinate logistics including room setup, AV coordination, catering, signage, staffing, security, and vendor management
  • provide basic AV support including microphones, presentations, and event visuals
  • partner with AV vendors on maintenance and troubleshooting
  • conduct tours for prospective and confirmed event groups
  • serve as the on-site point person during events to ensure smooth execution and a high-quality guest experience
  • manage event calendars, scheduling, budgets, invoices, and operational details across multiple concurrent events
  • lead post-event follow-up, reporting, and continuous process improvement
  • partner with cross-functional teams to execute startup and community programming
  • support workshops, speaker events, CEO gatherings, investor events, and ecosystem convenings including flagship programs such as Blueprint, Whiteboard, and Tough Tech Week
  • provide front desk and on-the-ground support during high-traffic events and as needed
  • strengthen systems and processes that improve coordination and operational excellence
  • contribute to a welcoming, professional, and mission-driven experience for residents and guests
  • build and maintain organized project management systems, tools, and documentation
  • coordinate across stakeholders while proactively identifying risks, gaps, and timeline dependencies
  • communicate clearly and professionally with founders, partners, vendors, sponsors, and guests
  • drive consistency and strong execution standards across all events and programs
