The Event Coordinator role at WashingtonExec is a pivotal position focused on managing the comprehensive logistics for the company’s events in Fairfax and Tysons Corner, Virginia. This role requires a candidate who excels in managing the details of event logistics, including attendee communications, registration materials, and on-site event execution to ensure flawless delivery. The coordinator is primarily responsible for overseeing RSVP management, maintaining event data accuracy, preparing various event collateral such as name badges and executive bios, and supporting the smooth operation of events ranging from small gatherings to larger sessions involving multiple speakers or dinners. Attendance support includes staffing the registration desk, managing check-ins, and resolving guest list issues during events, which typically occur in the evenings about twice per month throughout the year except August.

Beyond the core event responsibilities, the coordinator will also collaborate closely with WashingtonExec’s media team to support the promotion of executive hires, company announcements, award recognitions, and other relevant content through LinkedIn advertising and digital campaigns. This partnership helps enhance overall executive visibility, ensuring all promotional materials and media-related information are meticulously organized and up-to-date. This role is not solely focused on media or interview coordination but rather works as a strategic adjunct to event management that integrates supportive media functions.

The ideal candidate will bring 2 to 4 years of experience in event coordination, communications, media support, public relations, or marketing, preferably with backgrounds in government contracting or professional services. Strong organizational capabilities, excellent written and verbal communication skills, and proficiency with Microsoft Outlook, Excel, Word, and PowerPoint are essential. Familiarity with LinkedIn and digital content promotion is highly advantageous. Additionally, candidates must have reliable transportation and the ability to attend events locally. This full-time hybrid position offers a competitive salary ranging from $75,000 to $80,000 annually, plus performance bonuses. Job Requirements

Job Qualifications

Job Duties

  • Manage event logistics including attendee communications and registration materials
  • Track RSVPs, confirmations, waitlists, and guest lists using Outlook and internal systems
  • Prepare event collateral such as name badges, name tents, and executive bios
  • Staff registration desks, welcome attendees, manage check-ins, and resolve guest list issues on site
  • Support 24 annual evening events and ensure smooth event execution from setup to wrap-up
  • Collaborate with media team to support executive coverage and promotional activities
  • Assist with LinkedIn advertising and digital promotion efforts for WashingtonExec content
