The Events and Marketing Coordinator role at Buffalo Business First offers a dynamic opportunity to be at the heart of a leading business media company’s event management team. This full-time position is crafted for an organized and proactive professional passionate about event marketing, coordination, and execution. The Coordinator will work closely with the Events Director and the Business Design Desk (BDD) to oversee all aspects of event marketing, strategic planning, and logistics. Responsibilities include developing and managing marketing plans encompassing social media, print, web, and e-marketing channels tailored for each event. The role also requires building strong relationships with community partners to expand event exposure and optimize outreach efforts.
In addition to marketing coordination, the Coordinator will be responsible for creating and updating online event registration pages, ensuring that sponsor and speaker information is current and accurate. Program logistics—including managing sponsors, speakers, and honorees—are a key component of the job, demanding strong communication and organizational skills. On event days, the Coordinator plays a vital role overseeing registration, managing event décor, signage, awards, and collateral materials, and assisting with setup and teardown activities.
The position also involves assisting in long-term strategic event planning, contributing to new event concepts and improving existing ones to better serve Buffalo Business First’s audience and sponsors. Administrative duties such as maintaining event trackers, producing event recaps, and proofreading materials are regularly required to ensure seamless project management and sponsor satisfaction. The Coordinator is expected to communicate effectively with internal teams and participate collaboratively with other departments to maintain workflow and meet deadlines.
Professional development is encouraged, with opportunities to engage in training provided by ACBJ and Buffalo Business First to boost industry knowledge and event management skills. This role demands flexibility to assist the Events Director with any additional tasks as needed to support the success of multiple high-profile events held throughout the year. Job Requirements
- Bachelor’s degree or equivalent experience
- Minimum 2 years experience in event marketing or coordination
- Proficient in Microsoft Office and event software
- Strong interpersonal and communication skills
- Ability to manage multiple projects simultaneously
- Capacity to work flexible hours including event days
- Must be detail-oriented and highly organized
Job Qualifications
- Bachelor’s degree in marketing, communications, or related field preferred
- Experience in event marketing and coordination preferred

Job Duties
- Coordinate all event marketing including execution of social media, e-marketing, print and web plans
- Work with Event Director and Business Design Desk to ensure marketing plans are on track
- Build relationships with community partners for event exposure
- Create and update online event registration pages
- Manage program logistics including sponsors, speakers, and honorees
- Assist with event day execution including registration, setup, and load out
- Participate in long-term strategic event planning with the Events Director
- Maintain filing of event documents and produce event recaps
- Assist in proofreading event materials and sponsor tracking
- Collaborate with internal departments and keep Events Director informed
- Participate in training and support other tasks as required
