The Events & Incentives Project Coordinator role at TransGlobal is critical in supporting the company's mission by fostering strong motivation and engagement among independent agents through well-executed events and incentive programs. This full-time position offers competitive compensation, with an hourly pay ranging from $23.08 to $28.13 depending on experience. The Coordinator will work closely with internal teams across sales, marketing, and human resources, as well as with external vendors and partners, to orchestrate conferences, training sessions, and incentive travel programs that energize and reward agents.
This role demands high organizational skills and acute attention to detail for managing logistics, event registration, schedules, materials, and on-site event operations, ensuring a smooth and seamless experience for all attendees. The Events & Incentives Project Coordinator is also responsible for supporting the tracking of participant progress in incentive programs, managing reward distribution, and maintaining accurate administration of program metrics. Strong project management support is another key function, involving the development and oversight of detailed timelines, coordinating resources across departments, and troubleshooting any issues that arise to ensure deadlines and budget constraints are met.
Communication is a vital part of this role. The Coordinator will help prepare and distribute communication materials such as emails, newsletters, and program updates that keep independent agents and internal stakeholders well informed throughout the lifecycle of each event and program. In addition to these responsibilities, general administrative duties, including calendar management, document preparation, and meeting coordination, will also be a part of the daily workflow.

Job Duties
- Assist in organizing and managing logistics for company-wide events, including conferences, training sessions, and incentive trips for independent agents
- help coordinate event registration, schedules, materials, and on-site logistics to ensure a seamless experience for attendees
- collaborate with vendors, internal teams, and external partners to ensure all event requirements are met
- support the implementation of incentive programs that drive agent performance and engagement
- assist with tracking participant progress, managing reward distribution, and communicating program details to agents
- provide administrative support for incentive program metrics, ensuring data is accurate and up to date
- assist in the development and management of event and incentive project timelines, ensuring that deadlines are met and milestones are achieved
- coordinate with internal teams (sales, marketing, HR) and external vendors to ensure all aspects of events and programs are executed on time and within budget
- monitor project status and assist with troubleshooting any issues that arise
- help create and distribute communication materials related to events and incentive programs, including emails, newsletters, and program updates
- track and report on event and program performance, providing insights and updates to the Events & Incentives Manager and other stakeholders
- maintain clear and consistent communication with internal teams and agents throughout the project lifecycle
- provide general administrative support to the Events & Incentives team, including calendar management, document preparation, and meeting coordination
- assist with managing program budgets, ensuring all costs are tracked and within approved limits
