This position is a full-time role that focuses on coordinating programs, projects, and activities designed to strategically engage alumni and strengthen their ongoing connection to Oral Roberts University. The role centers on event planning and execution, including the organization of various alumni events that serve to foster engagement, recognition, and support among the university's extensive alumni network. In addition to event management, this role involves conducting research, tracking engagement metrics, creating and maintaining event management platforms, and developing comprehensive reports to assess the success and areas for improvement of alumni activities.
The individual in this role will handle numerous logistical, operational, and administrative functions pertinent to the preparation and execution of alumni-related events and engagement initiatives. This includes managing RSVPs, tracking attendance, addressing registration issues with a focus on excellent customer service, and ensuring meticulous post-event documentation such as attendance records and follow-ups. The role also serves as a critical point of connection between alumni, donors, faculty, and university administration, fostering communication and providing concierge-level service to all stakeholders.
The Alumni Engagement Coordinator must possess exceptional multitasking and organizational skills, along with strong interpersonal communication capabilities. They will support the Alumni Association by providing administrative assistance and ensuring seamless coordination of all related events and programs. The position requires expertise in using Microsoft Office applications, including Word, Excel, and PowerPoint, and familiarity with project management or event software is advantageous.

Job Requirements
- Bachelor's degree highly preferred or equivalent experience
- Must possess a valid Oklahoma driver's license
- Ability to manage multiple projects and meet tight deadlines in a fast-paced office environment
- Excellent interpersonal, verbal, reading, written, mathematical, multitasking and conflict resolution skills
- Ability to quickly establish and maintain rapport with alumni, donors, guests, faculty and administration
- Maintain a professional demeanor at all times
- Use sound judgment regarding organizational and department regulations, procedures and policies
- Maintain a high level of confidentiality of information
- Ability to clearly communicate with the ORU community and outside vendors
- Provide high level of concierge to alumni, donors and guests
- Ability to learn new database and software systems
- Proficient in MS Word, Excel and PowerPoint
Job Qualifications
- Bachelor's degree highly preferred or equivalent experience

Job Duties
- Coordinate programs, projects, and activities that strategically engage alumni
- Provide administrative support and coordination for tasks/events associated with the Alumni Association
- Provide University updates to be shared with constituents
- Build and maintain event RSVP pages
- Track attendee numbers, follow up on incomplete registrations, and/or troubleshoot any RSVP issues while keeping customer service in mind
- Supply department staff with important at-a-glance need-to-know information including date, time, location, RSVP link, ticket cost, attire, and other special considerations for upcoming events
- Ensure proper post-event records to note check-in, cancellations, and no-shows
