The organization believes deeply in the power of food as a unifying force that educates the community about both the diverse histories and commonalities people share.\n\nThe Events and Catering Coordinator (ECC) role at MAKE Projects is an exciting full-time position based at MAKE Cafe, located at 4712 Felton Street, San Diego, CA. This role pays $21 per hour, including tips when working cafe and event service shifts, and offers a comprehensive benefits package. The ECC is integral to MAKE Projects' hospitality operations, specializing in managing private dining, group reservations, and catering sales. Beyond typical restaurant event coordination, the ECC also serves as the primary contact and project manager for MAKE's special community-focused events like monthly pop-up dinners, workshops, and collaborations with various community partners. The scope of responsibility spans from initial customer inquiry to flawless event execution, demonstrating the role's comprehensive reach across front-of-house, back-of-house, logistical coordination, and customer communication.\n\nThis position demands excellent organization, attention to detail, and a personable attitude to successfully juggle client relations, event and catering logistics, and promotion efforts. The ECC will also collaborate closely with kitchen and service teams to ensure seamless execution and customer satisfaction. Additionally, this role involves light marketing responsibilities such as promoting event and catering offerings through social media, website presence, and community outreach, which helps maintain a full calendar of bookings. The ECC will also back up the Cafe's front-of-house trainer and supervise FOH operations as needed, contributing to the overall team synergy in this flexible, integrated small business environment. Job Requirements

  • High school diploma or equivalent
  • 1-2+ years of experience in event coordination, catering, hospitality, or a related field preferred
  • Excellent interpersonal and communication skills
  • Ability to manage multiple tasks and events simultaneously
  • Strong organizational skills and attention to detail
  • Ability to work flexible hours including evenings, weekends, and holidays
  • Basic computer proficiency including email and calendar management
  • Positive attitude and ability to work collaboratively in a team environment

Job Qualifications

  • 1-2+ years of experience in events, catering, hospitality, or restaurant management preferred
  • Excellent written and verbal communication skills
  • Strong organizational skills and comfort managing multiple events at once
  • Excellent photographic skills and strong visual eye a plus
  • Ability to stay calm and solve problems under pressure during live events
  • Flexible availability including evenings, weekends, and some holidays
  • Positive, guest-first attitude and a growth mindset

Job Duties

  • Respond promptly and professionally to event and catering inquiries
  • Guide clients through menu selection, guest counts, room layouts, and event timelines
  • Draft and manage contracts, deposits, and final invoicing
  • Conduct site visits and walkthroughs with prospective clients
  • Manage, coordinate and oversee with Cafe team to offer the Cafe space for after-hour private event usage
  • Coordinate closely with kitchen and service staff to ensure smooth execution
  • Manage vendor relationships, as needed
  • Be present for events to oversee setup, troubleshoot issues, and ensure guest satisfaction
  • Maintain an organized events calendar and prevent scheduling conflicts
  • Work with the team and partners to design, develop, promote and successfully execute MAKE special events such as monthly collaborative ticketed themed dinners at MAKE Cafe
  • Coordinate quarterly special events including Holiday Bazaar, Seedling Sale, workshops
  • Plan and execute fundraising and community events at the cafe, farm and out in the community
  • Responsible for all MAKE special event logistics, planning and day-of execution success
  • Represent MAKE Projects at community outreach and promotional events
  • Promote MAKE events and catering on social media and the restaurant's website
  • Create and update marketing materials such as menus, proposals, event packages, seasonal offers
  • Build relationships with local businesses, wedding planners, and corporate contacts to generate leads
  • Photograph events for use in future promotional content
  • Send follow-up communications and seasonal offers to past clients to encourage repeat bookings
  • Track inquiry sources and conversion rates to identify what works
  • Backfill for the Cafe FOH trainer and oversee Cafe front of house operation as a backup supervisor
  • Train, coach and mentor program assistants and trainees in special event operations
  • Support farm or employment program activities as needed
