The specialist will also collaborate with internal departments like the Dean of Students Office and Facilities and IT to meet the technical and spatial needs of events. Additionally, supporting high-profile annual events organized by the Office of Career Services, such as Firmwise and the Pro Bono Luncheon, is part of the role, emphasizing the importance of managing logistics and providing on-site support under guidance. Expertise in handling Continuing Legal Education (CLE) credit applications, virtual event hosting, including the proficient use of Zoom technology, and maintaining the Law School’s event calendar also highlight the multifaceted nature of this position.
This is a partially remote role requiring occasional travel within the Chicagoland area and the flexibility to work evenings and weekends with advance notice. Job Duties
- Coordinates and executes logistics for daily events and high-volume catering requests
- serves as primary point of contact for event and catering requests
- maintains and updates event tracking sheet
- manages invoice review and payment processing
- updates room reservation system and submits work orders
- collaborates with Facilities and IT for equipment and space setup
- supports annual Office of Career Services events with logistics and on-site support
- prepares and reconciles event budgets
- manages Office of Events budget spreadsheet
- updates Law School Events Calendar
- leads Continuing Legal Education credit application process
- maintains Office of Events supplies and inventory
- creates and manages event pages and registration links
- schedules invitations and tracks attendance
- prepares speakers and hosts for event content and logistics
- hosts Zoom meetings and webinars
- supports staff programming and compiles event evaluation data
- assists with vendor selection and contract negotiations
