The Events Administrative Assistant role at Park Hyatt Aviara is a crucial position focused on providing administrative support to the team of Event Planning and Event Sales Managers. This role requires a highly motivated individual who is eager to embrace additional responsibilities as needed, always demonstrating a proactive approach. The assistant plays a central role in coordinating client needs, managing event-related paperwork, and maintaining communication channels. Key responsibilities include answering phones, interacting directly with clients, maintaining booking and customer management systems, creating leads, developing presentations, drafting proposals and contracts, announcing hotel tours, and ensuring seamless coordination for event managers. The ideal candidate is someone with a friendly demeanor who excels at multitasking, prioritizing tasks efficiently, and completing projects within deadlines. Exceptional customer service and adept problem-solving skills are essential to succeed in this dynamic environment.

Job Requirements

  • high school diploma or equivalent
  • previous experience in administrative support or hospitality preferred
  • strong communication skills
  • proficiency or the ability to learn software used in hospitality management
  • ability to multitask and prioritize workload

  • attention to detail

Job Qualifications

  • a true desire to satisfy the needs of others in a fast-paced environment
  • refined verbal and written communication skills
  • proficient knowledge of computer applications or ability to learn new computer programs
  • knowledge of Envision, Opera and Cvent Diagramming prioritized
  • strong organizational, customer service and interpersonal skills
  • luxury hospitality knowledge and/or administrative support experience preferred
  • ability to work independently and confidently
