This remote role requires managing all logistics associated with medical education events, ensuring seamless execution from planning through post-event reconciliation. Coordinators act as the linchpin between sales representatives, faculty, vendors, and internal teams, maintaining constant communication to ensure commitments are fulfilled on schedule and within budget. This includes organizing venues, securing guest speakers, managing food and equipment arrangements, overseeing travel logistics, and confirming contract compliance. Candidates will leverage proprietary event management software to manage promotional programs, assist with budget adherence, and perform administrative duties such as contract reviews and vendor payments. The role also involves after-hours responsibility, with coordinators rotating to cover emergency phone support from 5pm to midnight. Strong proficiency in MS Office (Word, Excel with functionalities like pivot tables and VLOOKUPs) and email communication is preferred, along with the ability to handle high volumes of correspondence and telephone inquiries professionally. Job Duties
- Manage database of promotional educational programs within proprietary event management platform
- Assist customer representatives with program budget compliance
- Select or confirm venues, menus, audiovisual needs, and transportation arrangements
- Coordinate payments with venues, caterers, and vendors
- Maintain frequent communication with sales representatives, faculty, and internal staff
- Review venue contracts for accuracy and client compliance
- Ensure completeness and accuracy of meeting materials
- Work closely with team members for successful meeting execution
- Adhere to confidentiality, sensitive communication, and intellectual property policies
- Manage high volume of meetings while handling emails and phone calls
- Cover after-hours phone line on a rotating basis from 5pm to midnight
