The University of Oklahoma's Office of Admissions & Recruitment (OAR) serves as a vital gateway in connecting with prospective students domestically and internationally. The office offers comprehensive support and guidance throughout the application and decision-making process for freshman, transfer, and concurrent students. As a pivotal entity within a well-established public research university located in Norman, Oklahoma, the OAR collaborates dynamically with faculty, staff, parents, high school counselors, and broader communities. This role is a professional hourly position based in Norman, Oklahoma, offering a targeted salary between $21.00 and $22.83 per hour, contingent on experience. The work schedule follows a Monday through Friday routine from 8 a.m. to 5 p.m., but may occasionally require nights and weekend hours to support event needs or recruitment initiatives. Travel may be required as part of fulfilling the role's responsibilities. Benefits eligibility is provided as part of the employment offer.

The Event Coordinator within the Office of Admissions & Recruitment plays a key role in orchestrating a variety of recruitment events for prospective students. These events are essential to advancing the University's recruitment goals by providing prospective students and their families meaningful experiences on campus or virtually. Responsibilities include coordinating all logistical and administrative details of events and conferences, including budgeting, communications, promotional materials, vendor negotiations, and creating comprehensive communication and registration plans. This position also oversees student and staff workers involved in recruitment events, ensuring they receive adequate training and scheduling. Furthermore, the role supports the Senior Assistant Director in planning large-scale recruitment and non-recruitment events and participates in competitive research initiatives.

In this role, successful candidates will demonstrate exceptional organizational skills and a strategic approach to event planning and execution. They will manage event budgets judiciously while ensuring high-quality participant experiences. Coordinating catering, lodging, transportation, and venue setup while negotiating the best pricing reflects the fiscal responsibility involved. The coordinator will also handle real-time event inquiries, maintain databases and reports related to events, and facilitate registration processes. In addition to logistics, the role involves active engagement with prospective students, families, and high school representatives to guide them through admission, scholarship, housing, financial aid, and enrollment processes. The coordinator acts as a liaison across campus partners and implements feedback systems to evaluate event effectiveness and enhance participant satisfaction.

Safety and regulatory compliance are prioritized to ensure events meet legal, health, and safety standards. The position includes leadership opportunities in team planning and strategic initiatives on the campus experience team, including personalized and group visit planning. Job Requirements

  • Bachelor's degree or 48 months of related experience in lieu of degree for a total of 72 months experience
  • 24 months experience in event planning and coordination outreach or public relations
  • Valid Oklahoma Driver's License or ability to obtain within 30 days of hire date
  • Ability to work Monday through Friday 8 to 5 with occasional nights and weekends

Job Duties

  • Coordinates all aspects of event conference coordination including logistical details communications and event budgets

  • Trains schedules and oversees the work of students and staff with regards to recruitment events
  • Assists the Senior Assistant Director with planning large scale recruitment and non recruitment events and competitive research initiatives
  • Monitors event budgets and timelines
  • Negotiates with hotels and vendors to ensure best pricing
  • Creates robust event communication plans and dynamic registration forms
  • Develops best room building setups for events ensuring costs are within budget
  • Coordinates catering and lodging arrangements for events
  • Assists with coordination of website social media or other promotional materials
  • Monitors and responds to event inquiries for each event
  • Coordinates travel and transportation for guests attendees speakers or other parties
  • Compiles reports and maintains event conference related data
  • Coordinates the registration process for event participants
  • Assists with managing academic partner events
  • Presents engages and communicates with prospective students their families and high school stakeholders while guiding them through the admission scholarship housing financial aid and enrollment processes
  • Serves as liaison with campus partners as needed
  • Designs and manages feedback systems to evaluate events enhance participant experiences and provide actionable insights to campus partners
  • Ensures that events meet legal safety and health requirements and regulations
  • Assists with leading strategy initiatives team planning initiatives on the campus experience team
  • Plans personalized and group visit experiences for prospective students
  • Performs various duties as needed to successfully fulfill the function of the position
