The Event Supervisor position at the Reggie Lewis Track and Athletic Center is a part-time role based on the Roxbury campus, with an expected start date in Fall 2025. This role offers competitive compensation at $30 per hour and demands approximately 18.5 hours of work per week. As an Event Supervisor, you will be the primary on-site contact for all external events held at RLTAC, overseeing every aspect of event management to ensure smooth operations and client satisfaction.

This position requires someone with exceptional organizational skills and the ability to handle multiple responsibilities efficiently. The supervisor acts as a bridge between the clients, technical support staff, and security personnel, enhancing the overall event experience. Key responsibilities include reviewing event requirements prior to the event, greeting clients, troubleshooting issues on the spot, and ensuring all contracted terms regarding timing and event setup are strictly followed. The Event Supervisor also has the critical task of managing post-event activities like completing detailed reports, recording time overages, and communicating these effectively to the College Events Manager for proper invoicing.

Ideal candidates will have previous event supervision experience, preferably within theater settings, performance spaces, or multi-use higher education facilities. This background ensures familiarity with the unique demands of managing technical equipment, coordinating with various stakeholders, and adhering to institutional policies and procedures. The role also involves some physical duties, including lifting up to 25 pounds, moving tables and chairs, and navigating stairs, reflecting the practical needs of handling event logistics.

Job Duties

  • Review event operational requirements prior to events
  • greet clients, answer questions and concerns
  • serve as liaison between client, technical support staff and security
  • directly address client concerns and escalate when necessary
  • confirm start time and end time for event support staff
  • carefully track times of client use against contracted times and relay overage charges to clients and Business Office
  • complete comprehensive event report for College Events Manager prior to leaving event
  • ensure building is empty and clear of client belongings
