University Place is a vibrant community that prides itself on hosting a wide array of public events throughout the year. The University Place Event Team is a collaborative unit comprising the Marketing Director, Event Planner, and Event Staff. This dedicated team manages approximately 150 events annually, ranging from weekly story times and outdoor movie nights to cultural festivals and holiday celebrations. Most of these events take place outdoors in the Orchard, offering an engaging and dynamic environment for community members to come together and enjoy diverse activities. The team works diligently to ensure each event is well-organized, enjoyable, and successfully executed, contributing significantly to the community's cultural and social fabric.
The Part Time Events Staff position at University Place offers an exciting opportunity to be part of this dynamic team. Reporting directly to the Event Planner, the role involves assisting in the logistical coordination and execution of various events. As an Event Staff member, you will play a crucial role in setting up event equipment, managing booths and activities, conducting event errands, and ensuring smooth operation during events. This role demands physical stamina since tasks include carrying equipment, setting up stages, and working predominantly in an outdoor environment. Additionally, you will assist with audio equipment setup and operation, vendor communications for pricing and deadlines, and maintain event information accuracy on the website and social media platforms.
Beyond the logistical tasks, a significant component of this role entails providing excellent customer service and communications support during events. This includes helping attendees with directions, answering their questions, and assisting with crowd control to ensure a safe and pleasant experience for all participants. The job schedule varies week to week and may require working Monday through Saturday during days and evenings, with some flexibility based on event timing and office hours. Job Requirements
- High school diploma or equivalent
- Prior experience in an event support or customer service role preferred
- Ability to lift heavy objects frequently
- Willingness to work flexible hours including evenings and weekends
- Basic computer skills
- Good communication skills
- Ability to work outdoors in various weather conditions
- Physical stamina for repetitive lifting
- Ability to work as part of a team and independently
Job Qualifications
- Knowledge of conflict resolution and general customer service skills
- Ability to work in a fast-paced organization
- Strong interpersonal, verbal including phone work and written communication skills
- Basic computer processing skills including Excel and Word
- Prior work in special events preferred
- College coursework or comparable work experience preferred
- Basic knowledge of audio equipment preferred
- Must be able to lift heavy objects such as tables and stage sections repeatedly
- Must be able to work in an outdoor environment in a variety of weather conditions
- Must be able to work Monday-Saturday days and nights with flexible schedule
Job Duties
- Assist in carrying out and coordination of events
- Event set up and logistics
- Managing booths and activities
- Event clean up
- Assist with event errands in preparation of the events
- Assist with set up and take down of event equipment including tables and staging
- Assist with setup, operation, takedown of audio equipment
- Assist with vendor research including communication to obtain pricing details and deadlines
- Ensure the events content on the website and social media sites are up to date
- Assist in communications and customer service with event attendees including giving directions, answering questions, and crowd control
- Perform physical labor including setting up and taking down stages, seasonal displays and event equipment outdoors
- Other assignments as given
