Job Requirements

  • Valid passport required
  • ability to travel domestically and internationally

  • proficiency with event management software

Job Qualifications

  • Experience in luxury event planning or hospitality preferred
  • exceptional organizational and time management skills
  • strong attention to detail and confidentiality
  • excellent written and verbal communication skills
  • ability to adapt to changing priorities
  • ability to work across international time zones
  • proficiency in Microsoft Office, Salesforce, Cvent, Zoom, Teams

Job Duties

  • Provide comprehensive administrative and organizational support to the President
  • deliver day-to-day event planning and execution support to the Director
  • serve as a central point of coordination for internal teams and external partners
  • maintain accurate records for all event-related contacts, contracts, deposits, and financial documentation
  • support planning, production, and execution of The Summit and other FTG events
  • oversee Breakout session logistical support and onsite coordination
  • manage event logistics including BEO review and vendor coordination
  • prepare and manage vendor contracts
  • support sponsorship contracts and renewals
  • maintain centralized contract and deposit database
  • track billing and invoices for accuracy and approval
  • coordinate speaker and VIP travel, schedules, and agreements
  • support VIP hospitality and gifting
  • provide administrative and deadline tracking support to the President and Director
  • coordinate calls, appointments, and speaking engagements
