The Event Specialist III role is a full-time, regular position within the University Operations department at Columbus State University. This role is charged with providing critical day-to-day leadership and coordination for event setup operations throughout the campus. The Event Specialist III will oversee the execution of more than 1,200 events annually, offering hands-on assistance in setting up meetings, special gatherings, and events to ensure each is prepared accurately and efficiently according to internal standards and client expectations. This role requires flexibility, including the ability to work nights and weekends, to support a comprehensive schedule of university events and operations.
As a working lead, the Event Specialist III is responsible for directing and coordinating a team focused on event setup, ensuring accuracy in event layouts, equipment usage, and customer satisfaction. The position entails troubleshooting event-related issues, preparing equipment, and ensuring campus furniture and fixtures are well maintained and reporting any repair needs. Furthermore, the role includes participating in special projects, such as moving furniture or equipment on and off campus, assisting with emergency preparations like clearing snow or debris, and operating delivery vehicles and equipment.
This role demands strong physical stamina, as it regularly involves lifting weights of 50 pounds or more and working outdoors in varying weather conditions. Candidates should be able to work independently as well as collaboratively with teams, with a keen attention to detail. While proficiency in Microsoft Office is preferred, it is not mandatory. A valid driver's license is required for this position. Job Duties
- Lead and assist in the setup of all events, meetings, and special gatherings, ensuring accuracy and efficiency in execution
- Provide work direction and guidance to team members to ensure timely and high-quality event setup
- Conduct inventory and prepare items and equipment according to work order needs
- Ensure events are set to work order specifications
- Work with customers to understand specific needs related to event setup and execution
- Troubleshoot event-related issues
- move and set up equipment as required
- Walk assigned campus areas to ensure furniture and fixtures are in good condition and report needed repairs
- Assist in special projects, including setting up and moving furniture or equipment on and off campus
- Assist in emergency preparations such as clearing snow, ice, and debris from sidewalks, roadways, and driveways
- Operate delivery trucks or equipment to assist in loading and moving materials
- Work collaboratively with moving/setup teams and grounds teams
- Serve as a brand ambassador of University Operations and Columbus State University
- Perform other duties as assigned
