The role of Event Coordinator at UCO is a full-time, hourly, non-exempt position based at the Nigh University Center— a vibrant hub for campus activities. This position is benefit-eligible and typically requires a standard 40-hour workweek, Monday through Friday, with occasional evenings and weekends, specifically to support campus events. The primary focus of the role is to coordinate the logistics of a wide range of events—including conferences, seminars, special promotions, programs, camps, and direct mail campaigns—ensuring seamless execution from event conception through to cleanup. Responsibilities include organizing every aspect of events such as scheduling staff, catering services, contracts, venue selection, and event layout while adhering closely to budgetary guidelines.

Job Requirements
- Requires bachelor's degree in job related field or 4 plus years equivalent work experience
- Must have valid Driver's License
- Ability to work in a team environment
- Demonstrate respect, honesty, and integrity
- Attention to detail and ability to follow policies and procedures
- Strong communication skills
- Ability to listen and follow instructions
- Ability to effectively determine appropriate facilities for events
- Excellent customer relation skills
- Must be available to work occasional evenings and weekends
Job Qualifications
- Bachelor's degree in job related field or equivalent work experience of 4 or more years
- Valid Driver's License
- Experience with Microsoft Office suite
- Reservation/scheduling experience in university, hotel, or conference center settings preferred
- Familiarity with EMS or other computerized scheduling software preferred
- Strong communication and organizational skills
- Proven ability in event coordination and scheduling
- Excellent customer relations skills
- Ability to make decisions and give instructions in the absence of senior staff
Job Duties
- Coordinate logistics of events such as conferences, seminars, special promotions, programs, camps, and direct mail campaigns
- Organize events and programs from conception to clean-up including scheduling staff, catering, contracts, venue, and layout
- Plan and administer events following budget guidelines and requests
- Assist in evaluating programs and provide feedback to leadership
- Manage event bookings and customer relations for the Nigh University Center
- Meet with campus and off-campus entities as well as student organizations to determine event outcomes
- Work occasional evenings and weekends to support events
- Collect and process detailed event information including dates, times, participants, food services, media, and set-up needs
- Ensure compliance with Nigh University Center policies and use good judgment to manage customer requests
- Suggest room arrangements and presentation details based on facility capabilities
- Inspect reserved rooms for accuracy and completeness of event requests
- Input reservation data timely into scheduling software
- Coordinate banquet, reception, and refreshment orders between customers and food service management
- Communicate upcoming event schedules to university departments to ensure necessary support services
- Provide backup documentation for timely billing
- Coordinate customers’ needs with building supervisors, set-up technicians, multi-media specialists, and transportation and parking departments
- Address and resolve issues with unsatisfied customers
- Perform other related duties as assigned
