The Event Specialist role at Event Lab is a key position that combines event planning, decor rental, and destination management to support an extensive range of events. This position plays a crucial part in carrying out both social and corporate events, with an approximate split of 30% social/weddings and 70% corporate/association engagements. The role demands a professional with at least three years of experience in the events industry, bringing expertise in corporate travel event management, sourcing, and sales. Candidates for this salaried, full-time role will operate from multiple environments including the Eden Prairie office, onsite locations throughout the Twin Cities, and remote work from home twice a month. Flexibility in work hours and availability for evening and weekend events, industry educational opportunities, networking events, and trade shows is essential.

In this role, the Event Specialist leads client consultations to understand and fulfill event needs, leveraging Event Lab's wide range of decor and destination management services. Responsibilities include crafting precise and competitive quotes, managing event budgets to meet target margins, developing mood boards to capture the client’s event vision, and facilitating the full sales process from initial inquiry to final order confirmation. Beyond sales, the incumbent manages event logistics, confirming order details like item counts and timing, coordinating load-in and load-out procedures, and serving as a primary client contact. Coordination with project managers ensures that logistical and operational aspects of events are meticulously handled.

This specialist also focuses on building and sustaining industry relationships within the Twin Cities event scene. Through active networking and maintaining a visible, professional presence at relevant gatherings, the Event Specialist contributes to expanding Event Lab’s client base and boosting revenue streams. Additionally, the role includes hands-on participation in event installations and onsite event support, where representing the company with professionalism and care is paramount.

Ideal candidates will exhibit not only strong organizational skills and industry experience but also a creative flair for event decor and design. Experience with event software, specifically Good Shuffle, is preferred. Job Duties

  • Lead event consultations with clients to assess their needs and provide rental and destination management services

  • Guide clients through the order reservation process and secure confirmations
  • Design mood boards to visually represent clients’ event concepts and assist in contract sales
  • Manage event budgets ensuring targets are met
  • Confirm all event logistical details including item counts, timing, and venue contacts
  • Collect and verify load-in and load-out schedules and venue diagrams
  • Serve as the post-sale point of contact for clients
  • Delegate tasks to project managers when necessary
  • Build and maintain relationships within the Twin Cities event industry to generate revenue
  • Attend industry networking events to foster connections and professional growth
  • Assist with onsite event setup and breakdowns
  • Represent the company professionally during onsite events
  • Perform additional duties and pursue educational opportunities as assigned
