Job Description

The Event Setup Assistant position is a part-time student employment opportunity within the Cultural Programs department at OCCC. This role is designed for students currently enrolled at OCCC, particularly those with a Federal Work-Study award or enrolled in a minimum number of credit hours during the academic terms. The employment is flexible, not exceeding 25 hours per week, with a wage set at $10.00 per hour. This position is ideal for students looking to develop hands-on experience in event logistics and campus event management.

As an Event Setup Assistant, the student will play a critical role in the success of campus events by preparing and organizing venues. Responsibilities include arranging furniture such as tables, chairs, and staging components in accordance with event specifications. The assistant will collaborate closely with team members and the Coordinator of Cultural Programs to ensure that venues meet all requirements and are set up and dismantled efficiently. This job demands physical fitness due to the heavy lifting and movement of equipment and furniture. It also requires attention to detail to follow event layouts and plans exactly.

Furthermore, the position involves post-event duties such as resetting spaces and ensuring cleanliness and organization for future use. Additional tasks may include backstage duties, assisting with ticket processing, and supporting general office activities such as answering phones, filing, and document management. The role offers a unique opportunity to develop organizational, communication, and problem-solving skills while working in a fast-paced event environment. Students will gain practical experience in teamwork, customer service, and event execution, all of which are transferable skills valuable to many career paths.

Job Requirements

  • Current OCCC student enrolled in a minimum of 6 hours for the Fall or Spring semester or enrolled in a minimum of 3 hours for the Summer semester
  • current OCCC student with a Federal Work-Study award
  • valid Oklahoma driver's license
  • physical ability to perform heavy work including occasionally exerting up to 100 pounds of force and frequently lifting up to 50 pounds
  • ability to communicate effectively in noisy environments
  • ability to remain standing and stationary for extended periods
  • ability to operate equipment requiring repetitive hand and wrist motions
  • occasional climbing of ladders
  • ability to work indoors and outdoors in extreme temperatures

Job Qualifications

Job Duties

  • Lead and collaboratively work with team members to complete event setups in public spaces and rooms, including arranging and dismantling furniture and equipment such as tables, chairs, and stage components
  • ensuring timely and efficient organization of events
  • lead and complete post-event space resets, including dismantling or modifying setups, with a focus on ensuring that spaces are thoroughly cleaned and left organized for subsequent use
  • move, secure, and store event equipment
  • assist in its maintenance and organization
  • assist with other projects and duties as assigned, including backstage or production duties, processing ticket sales, document imaging, filing, assisting with reception desk duties, copying, faxing, sorting mail, assisting with theater events, and assisting department staff as requested
  • abide by the policies and procedures published in the Board of Regents Policies and College Policies & Procedures
  • contribute to a safe educational and working environment
  • adhere to established safety and health procedures and practices for injury and illness prevention for self and others
  • complete quarterly health and safety training
  • participate in all applicable emergency, evacuation, and shelter in place drills and assist others in health or safety emergencies
